Description of the Job Role
The position of Administration Officer reports directly to the Administration Coordinator while providing high-quality support and administration to the broader business.
Employment Conditions
The successful appointee’s working hours will be 9:00am to 5:00pm Monday to Friday, although there may be some variation from time to time to ensure critical management and continue care of clients.
Responsibilities
- Provide administrative and clerical support to the ClearSky business
- Apply high attention to detail, accuracy and produce high quality work in-line with organisation standards
- Maintaining electronic and hard copy administrative systems and records
- Answering phones in a professional manner, and routing calls as necessary
- Provide administrative advice to care staff as required
- Perform high speed and accurate data entry
- Updating and distributing office phone register/list as required
- Responding and actioning emails appropriately and in a timely manner
- Faxing, scanning, mailing, and filing documents
- Maintaining the office space and re-stocking office supplies
- Contribute to staff meetings and promote the exchange of information throughout the organisation
- Contribute to the operational environment and culture of ClearSky to clearly demonstrate ownership of and commitment to the corporate vision, the capacity to deliver business objectives cost-effectively, accountability for results, a commitment to safety and continuous improvement, adherence to contemporary ‘best practice’ care management and a team approach to operations
- Maintain strict confidentiality in relation to the organisation’s client and corporate data and information
- Maintain a safe and non-discriminatory workplace while adhering to safe work practices
Person Specification
- Minimum 3 years’ experience in a similar role
- Post-secondary qualifications in business or related field would be highly regarded but not essential. A willingness to develop skills and a genuine interest in learning are a priority.
- Demonstrated ability to multi-tasks and complete duties within strict time-fames while providing a high-level attention to detail
- Demonstrated level of competence in the utilization of Microsoft Office Suite.
- Demonstrated high level of communication, interpersonal, negotiation and personal presentation skills, particularly in relation to positively managing the interface between field and office staff
- Demonstrated critical thinking and ability to plan and provide updates and status of important documents that have strict deadlines
- Ability to work within a challenging and innovative work environment
- Ability to take initiative, thorough note taking and have excellent interpersonal skills
- Ability to prepare agendas for meetings based on relevant issues
- Ability to anticipate, plan and provide good judgement with decision making
