About the organisation
Pika Wiya Health Service Aboriginal Corporation is an exciting Aboriginal Community Controlled Health Service which offers comprehensive primary health, social support and training services to Aboriginal people in Port Augusta, with Clinics located at Dartmouth Street in Port Augusta, Davenport, Copley and Nepabunna communities and provides services to other areas within our catchment area. Our health service provides a culturally appropriate preventative and curative health service to all Aboriginal and Torres Strait Islander people.
Purpose of the role
The Executive Assistant is accountable to the CEO and is responsible for the provision of secretarial, clerical and administrative support services to the CEO and other sections within Pika Wiya Health Service.
Key accountabilities
- Provide secretariat and administrative support to the CEO, including CEO calendar management.
- Organise and attend executive management meetings, and internal section meetings/staff meetings.
- Prepare meeting agenda items, take minutes, and undertake follow up actions from meetings, including on implementation of strategies.
- Arrange travel and accommodation, prepare itineraries, and organise vehicles/transport, and, occasionally, travel with the CEO for administrative support.
- Assist CEO and Business Manager with other diverse administration duties as required, including maintaining conference room bookings and effective records management.
- Conform to prescribed principles of confidentiality and privacy.
Essential minimum requirements
Personal Skills/Abilities
- Highly proficient in typing, word processing and Microsoft applications.
- Highly developed interpersonal and communication skills - both verbal and written.
- Extensive clerical and administrative skills.
- Highly developed organisational skills and capabilities.
- Highly developed teamwork skills.
- Ability to set priorities, show initiative and work with minimum supervision.
- Proven ability to be flexible and adapt to changing circumstances and environments.
- Ability to liaise effectively with all levels of staff.
- Ability to respond to enquiries in a courteous, helpful manner under a variety of conditions e.g., heavy workload, time frame deadlines and aggressive clients.
- Ability to analyse complex clinical data.
Special conditions
- National Police/Criminal Record Check and any other relevant background checks.
- Current SA Drivers Licence with no restrictions.
