Position Title: Project Coordinator or Junior Project Manager | NON IT
Budget:$700 - $800/Day plus Super
Length: 6 months
Location: Sydney, 2006

One of Sydney's top 5 Universities are looking for a Project Coordinator or Junior Project Manager | NON IT to join their team on a 6 Month contract, with possibility for an extension.

The Program Coordinator provides project management and program support to the Academic Excellence Program (AEP), coordinating the implementation and delivery of activities and tasks in order to meet established milestones and deliverables. They will ensure that projects are well planned, managed and evaluated. They will focus on improving the efficiency and effectiveness of Project services and supporting operations, ensuring effective use of resources and best practice

The Program Coordinator will work under broad supervision with direction provided on key accountabilities. They will provide advice and resolve routine matters that may arise and collaborate with colleagues (often more senior) resolve any complex matters. They will have discretion for innovation within these guidelines, provided that set priorities and deadlines are achieved in line with University protocols and policies. Actions and decisions are taken collaboratively where appropriate.

Your responsibilities

1. Manage the development and implementation of project plans to meet stated objectives.

  • Develop and maintain planning documents for project workstreams including the documenting timelines, preparing charts, tracking activity, monitoring budgets and highlighting milestones using established project management tools.
  • Manage project logistics, including scheduling meetings, coordinating attendees, planning events and meetings in various locations, and sourcing appropriate venues.
  • Identify and analyse emerging risks and threats to the project implementation and recommends mitigation, minimisation and/or elimination strategies.

2. Project organisation and establishment.

  • Work in collaboration with colleagues to analyse current processes and identify and address opportunities for improvement.
  • Champion project management practices across the Business unit, providing regular updates to project stakeholders at all levels through verbal and written communications.
  • Assign, schedule, review and monitor project work to ensure that progress is met according to expected scope and completed on time and within budget.

3. Implement project governance and reporting processes to monitor progress and delivery.

  • Establish project governance and reporting processes to monitor and control the progress of projects, including status reporting, implementation, issue and scope management and quality assurance.
  • Contribute to the development of tools and improved practices for the management of projects in the Business unit.
  • Determine how results will be measured and complete post-project evaluations.

4. Build relationships and manage stakeholder communication, including coaching and support.

  • Build rapport and business relationships with project stakeholders, develop and implement plans for managing effective communications with key stakeholders.
  • Facilitate information sessions and provide information to a variety of stakeholders.
  • Conduct training for staff in relation to project outcomes and related changes to workflow and procedures.
  • Advise, coach and motivate project team members across Library divisions.

5. Actively contribute to University culture and values

  • Demonstrate client focus by seeking out, understanding and responding to the current and future needs of internal and external clients.
  • Actively participate in the development of team goals, taking initiative to help other team members; be comfortable and effective in leading or following depending on the task at hand and needs of the team.
  • Act as a mentor and/or encourage other team members to improve and develop individual skills.
  • Manage resources and improve the quality of work including coordinating activities, budgets, facilities and/or resources.
  • Actively share expertise and best practices in technology with others and sponsor the development of new and innovative technology related ideas and/or procedures to meet current learning, teaching and research needs and improve the user experience.

6. Undertake ad-hoc projects and other activities.

  • Perform work activities relevant to the role’s key accountabilities as approved by the Manager and commensurate to the role’s classification level.
  • Deputise for Project and Program Managers from time to time, with all the attendant responsibilities required of that position.

Experience:

  1. Project coordination or junior PM experience, ideally in a university or education/research environment.
  2. University experience is key, with a preference for someone who has worked in that setting before.
  3. Experience with stakeholder engagement and managing senior meetings is highly valued.
  4. Experience with business programs and educational frameworks—focusing on the development and coordination of projects and frameworks rather than delivering the technical side of things.

  • Demonstrated experience in managing a project throughout the project life cycle, including developing project documentation, following recognised standards and methodologies.
  • Demonstrated experience in supporting change, adapting, and improving services in response to internal and external client feedback, and in line with strategic goals.
  • Ability to effectively influence a diverse group of key stakeholders, including the ability to develop productive relationships.
  • Excellent interpersonal, verbal and written communication skills and a demonstrated level of tact and discretion in dealing with a variety of matters
  • Ability to manage competing priorities.
  • Ability to interpret stakeholder requirements and analyse business needs.
  • Proven ability to problem-solve and provide lateral solutions to obstacles.
  • University or higher education experience desired
