Join a family owned Canberra surveying company where you'll work closely with our directors and take ownership of the systems, processes and operations that keep our business running.

This is a broad and central role that combines financial administration, human resources, compliance, systems management, project administration and daily business operations. You'll play an important role in improving how we operate, supporting our team and helping ensure the business continues to grow smoothly.

Ellipse Surveying is a Canberra business delivering construction and land surveying services across the ACT and surrounding NSW. Key Responsibilities:

Financial Management

Prepare and lodge BAS and manage all ATO obligations, including PAYG and STP

Administer superannuation payments and ensure ongoing compliance

Manage company's accounts through Xero, including reconciliation, accounts payable, invoicing through Xero Projects

Monitor accounts receivable and follow up outstanding debtors

Prepare, submit, and track progress claims through PayApps

Human Resources & People Management

Oversee all human resources functions, including recruitment, onboarding, offboarding, payroll, leave requests and staff records

Develop, implement, and maintain company policies and procedures

Project & Business Administration

Establish and maintain project administration

Coordinate project procurement and assist with the preparation and submission of fee proposals, tenders, and RFT responses

Assist with client bookings, quoting, and project coordination

Provide daily support to directors and senior staff across scheduling, correspondence and project coordination

Administer Microsoft 365 user accounts and licensing, including setting up new staff, maintaining access, and managing software subscriptions

Manage document control, including templates and the SharePoint and OneDrive folder structure

Manage all company insurances and business compliance, including workers' compensation and business insurance renewals and the Secure Local Jobs Code

Oversee Work Health and Safety (WHS Plans and SWMS) requirements across jobs and the office

Equipment & Office Operations

Manage the company vehicle fleet, including registrations, servicing, and insurance

Order and manage equipment, office supplies, and staff uniforms

Maintain survey equipment calibration and compliance records

Experience/skills

Proven experience in business operations, HR, office management, or finance administration

Strong working knowledge of Xero, including payroll, reconciliation, and projects

Sound understanding of BAS, PAYG, superannuation, and ATO obligations

Familiarity with insurance renewals, procurement, and business compliance

Confident in Microsoft 365 suite and Adobe Acrobat

Excellent organisational skills and strong attention to detail

Effective communication skills and the ability to work independently

Construction or surveying industry experience preferred (not essential)
