Apollo Patios is a leading Queensland manufacturer of high-quality insulated panel and single skin steel roofing for patios, pergolas, and carports, serving customers across Queensland and beyond. Due to continued business growth, we are looking for a detail-oriented and reliable Data Entry & Administration Officer to join our team as an all-rounder. This is a hands-on support role that will help keep our operations running smoothly - from processing incoming work orders and building production schedules through to tracking orders, entering costing data, and raising sales invoices.

This role suits someone who enjoys process-driven work, takes pride in accuracy, and is comfortable working across multiple systems and being flexible to get things done in a busy manufacturing environment.

About the Role

You will provide essential data entry and administration support across several key business functions. Your accuracy and attention to detail will directly support our procurement, factory, sales, and customer service teams.

Key Responsibilities

Work Order Processing

Receive, enter, and process all incoming work orders accurately into our business system (Accentis) and Excel.

Check each order for completeness before it enters the production queue - including product specifications, quantities, and any special customer requirements.

Production Scheduling & Data Entry

Build and maintain a live production schedule, allocating work orders to the appropriate production runs based on customer delivery requirement, material availability, and warehouse capacity.

Communicate schedule updates clearly to production staff and management.

Sales Order Tracking & Status Updates

Cross-check sales orders against work orders to confirm all details align before production begins.

Verify customer delivery expectations are captured accurately and that internal staff notes are reflected in the scheduled order.

Monitor work orders through each stage of production - from scheduling through to dispatch then invoicing.

Update order statuses in the system in real time and proactively flag any delays, discrepancies, or bottlenecks to the relevant team members.

Costing & Margin Data Entry

Accurately enter and verify cost prices and margins for all outsourced items into the system prior to sales order dispatch.

Liaise with factory staff to resolve queries or discrepancies.

Invoice processing

Raise sales invoices upon order dispatch completion.

Serve as a reliable in-house point of contact in the final stage of the order process.

Record keeping & general office administration

Maintain accurate and up-to-date work order records.

Assist with production reports and any other scheduling data.

Support data integrity initiatives - identifying and correcting errors or inconsistencies across records and systems.

Provide general administrative support across the business as required.

Backfill or provide backup as needed based on workload and when team members are on leave.

About You

You are a methodical, reliable administrator who takes pride in doing the detail work well. You’re comfortable working with data systems and enjoy being the person who keeps things accurate and organised behind the scenes.

Experience in a data entry, manufacturing or administration support role

High accuracy data entry skills with a habit of double-checking your own work - especially when checking costings and order accuracy

Proficient in Microsoft Office and an expert in Excel

Experience using business and ERP systems (experience with Accentis is a bonus)

Ability to manage multiple priorities and meet scheduling deadlines

A proactive mindset - comfortable following up, flagging issues, and working as part of a team

A reliable, self-motivated team player with a positive attitude

Experience in a manufacturing, trade, or building products environment is a bonus but not essential
