We are seeking an experienced and highly organized Legal Secretary to join our Sydney office and provide professional secretarial, clerical and administrative support to our solicitors and legal team.
About the role
As a Legal Secretary, you will play an important role in supporting solicitors with the day-to-day administration and progression of client matters. The position requires strong organizational skills, attention to detail and the ability to work confidently with legal terminology, procedures and documentation across a range of practice areas.
Key Duties and Responsibilities
Prepare, type, format, amend and proofread legal correspondence, reports, briefing notes, agreements, forms, court and tribunal documents and other legal materials from solicitors' instructions, precedents and dictation
Manage solicitors' diaries, calendars and schedules, including arranging client conferences, internal meetings, court and tribunal attendances, mediations, settlement appointments and other matter-related commitments, while monitoring key dates and deadlines
Liaise professionally with clients, barristers, courts, tribunals, government departments, other law firms, experts and external service providers to arrange meetings, obtain and provide information, coordinate documentation and support the progression of legal matters
Open, maintain, update and close client matters and legal files, ensuring correspondence, evidence, agreements, pleadings, court documents, transaction records and other materials are accurately recorded, filed and maintained in electronic and physical systems
Receive and process incoming and outgoing correspondence, emails, court notices and other communications, identify urgent or time-sensitive matters and promptly refer substantive legal issues to the responsible solicitor
Answer telephone calls and respond to general client enquiries, obtain relevant administrative information, redirect legal enquiries to the appropriate solicitor and coordinate client appointments and consultations
Assist solicitors with litigation and dispute resolution matters by preparing and organizing pleadings, affidavits, subpoenas, exhibits, chronologies, court books, hearing bundles, briefs to counsel and other supporting materials under solicitors' direction
Assist with the filing, lodgement and service of legal documents with courts, tribunals, government departments and other relevant authorities, and maintain accurate records of documents filed, served, received or lodged
Take and transcribe dictation, meeting notes, file notes and correspondence as required, and maintain accurate records of instructions and administrative follow-up actions arising from client or matter-related meetings
Assist with legal billing and matter administration, including preparing draft invoices for review, recording disbursements, maintaining billing information, managing document archiving and ensuring confidential client, legal and commercial information is handled securely and professionally
About You
To be successful in this role, you will ideally have:
• Previous experience as a Legal Secretary, Legal Assistant or in a similar legal support position.
• Sound knowledge of legal terminology, legal documentation and general legal office procedures.
• Strong written and verbal communication skills.
• Excellent attention to detail and a high level of accuracy in document preparation and record keeping.
• Strong organisational and time management skills, with the ability to manage competing priorities and deadlines.
• Proficiency in Microsoft Office and confidence using electronic document and matter management systems.
• A professional and courteous manner when dealing with clients, legal professionals, courts and external stakeholders.
• The ability to exercise discretion and maintain strict confidentiality when handling sensitive client and legal information.
• The ability to work independently while contributing effectively as part of a professional legal team.
• Mandarin and/or Cantonese language skills would be advantageous but are not essential.
