About the Role

We are seeking a proactive, solutions‑focused and highly organised Executive Support & Administration Coordinator to provide exceptional administrative support to the Chief Executive Officer, the Executive Leadership Team and broader administration/support functions.

This role suits someone who anticipates needs, thrives in a fast‑paced environment, and enjoys ensuring things run smoothly behind the scenes. From managing calendars and preparing meeting papers to supporting key systems, documents and organisational processes, this position is critical to keeping our Executive Team focused on what matters most, supporting families.

You will predominantly work on-site across our Herston and South Brisbane locations, with some flexibility to work from home. This is a part‑time role (30 hours per week), generally across Monday to Friday with shorter days however, we’re open to discussing a four‑day week for the right candidate.

Some out-of-hours work is required from time to time, such as assisting with Board meetings in the early evening or supporting occasional weekend/evening events, always with advance notice.

Key Responsibilities:

Provide high‑level executive support including calendar management, meeting preparation, minute‑taking, correspondence and coordination of Executive activities.

Act as a key liaison for the CEO with internal and external stakeholders

Support Executive meetings, Board and Committee scheduling, document access and meeting logistics.

Coordinate travel arrangements, acquittals and travel accounts for the Chapter.

Administer some organisational systems and platforms

Maintain contractor and document registers, corporate accounts, and general office administration.

Coordinate office equipment, meeting room bookings, catering, printing/stationery supplies and archives.

Support organisational committees/meetings (e.g. All team meetings, Safety & Wellbeing, Diversity Equity & Inclusion, Safeguarding Children & young People, Reconciliation Action Plan Working Group) including logistics, calendar invites, minutes, follow‑up actions and documentation.

Uphold Ronald McDonald House values, compliance, governance and safety standards.

This role is 30 hours per week primarily based at our Herston and South Brisbane Locations with some work from home available (some out of hours work required from time to time).

Requirements of the Role - Key Selection Criteria:

Essential:

3–5 years’ experience in executive support and/or administration/office management.

Proven experience coordinating systems, processes and digital tools.

Strong technology capability and willingness to embrace new platforms.

Exceptional organisation, attention to detail and ability to anticipate needs.

Ability to prioritise and work well with shifting demands.

High level of professionalism, discretion and confidentiality.

Proficient in Microsoft Word, Excel, Outlook and PowerPoint.

Desirable:

Experience in the Not-for-profit sector
