About the role

This is a key governance support role within the Office of the Chief Executive, providing high-quality secretarial, administrative and governance support to the Mind Australia Board, subsidiary entity Boards and Committees.

We are seeking a Board Secretary for a permanent, fulltime opportunity. You will work closely with the Company Secretary, Board Directors, CEO and Executive Team to coordinate Board operations, prepare governance documentation and ensure the smooth and effective administration of Board and Committee activities You will play a critical role in supporting strong governance practices, facilitating communication between stakeholders and maintaining accurate and confidential Board records.

Given the nature of Board and Committee activities, this role offers flexibility in working arrangements, with some meetings occurring outside standard business hours. Occasional interstate travel may also be required to support Board meetings, strategy sessions and governance activities.

Key responsibilities

  • Provide confidential secretarial and administrative support to the Board, subsidiary entity Boards and Committees.
  • Coordinate Board and Committee meetings, including agendas, papers, minutes, action registers and meeting schedules
  • Prepare, review and distribute high-quality Board and Committee documentation within required timeframes.
  • Act as the key coordination point for Board-related matters between Directors, the CEO, Executive Team and Company Secretary.
  • Support Board and Committee Chairs with correspondence, governance documentation and meeting administration.
  • Coordinate Board events, inductions, travel arrangements, venue bookings and other governance activities.

You are a highly organised governance professional who thrives in a fast-paced environment and exercises sound judgement, discretion and professionalism.

Your experience includes:

  • Experience supporting Boards, Committees or senior executives in a governance, company secretariat or corporate administration environment.
  • Demonstrated experience preparing agendas, Board papers and accurate meeting minutes.
  • Strong organisational and time management skills, with the ability to manage competing priorities and deadlines.
  • High attention to detail and the ability to manage sensitive and confidential information.
  • Well-developed written and verbal communication skills.
  • Strong stakeholder engagement and teamwork skills, with the ability to build effective working relationships across all levels of the organisation.
  • Advanced administrative and office technology skills.

Highly regarded

  • Tertiary qualifications in business, governance, administration, law or a related field.
  • Experience working in a not-for-profit, healthcare or community services environment.
  • Experience supporting multiple Boards or corporate entities.
  • Experience using governance platforms and Board management systems.
