Our client is a trusted name in Australia's interior design and architecture community, with over 35 years representing many of the world's most revered fabric houses — offering a globally sourced selection of textiles, wallpaper and interior accessories for both residential and commercial markets. They're now seeking an organised and proactive Operations & Studio Coordinator to be the operational backbone of the business across their showrooms in Victoria, New South Wales and Queensland. Like a studio manager in a design practice, you'll keep the workflow moving between the offices, overseas suppliers and the sales team — making sure the right things happen at the right time, and nothing falls through the cracks. This is a Melbourne-based role and all coordination is run from the Richmond showroom (no travel required).

The role is designed to grow. They're looking for someone ready to take ownership from day one and develop into the Operations Manager over time. You'll begin by coordinating and running the systems, and as you build your understanding of the business, you'll be handed greater responsibility for process, supplier relationships and decision-making. Key responsibilities

Manage relationships with overseas suppliers — coordinating orders, timelines, shipping and documentation across time zones

Track orders and deliveries end to end, anticipate delays, and keep internal teams informed

Maintain supplier records and continually improve how stock is procured and received

Coordinate day-to-day operations across the VIC, NSW and QLD showrooms, keeping teams aligned and running smoothly

Own and improve administrative processes and systems, building them out as the business grows

Act as the central point of contact for operational questions across all sites

Support the sales team with quotes, order processing and client-facing documentation

Keep the pipeline moving by coordinating between sales, suppliers and delivery

Prepare and organise materials, samples and product information as required

Manage scheduling, correspondence, filing and record-keeping using HubSpot CRM and related systems

About you

Experience in administration, coordination, studio management or operations support — ideally within interiors, textiles, design, or a multi-site environment

Ambition to grow into an operations management role, and the drive to earn it

Highly organised, with genuine attention to detail

A confident communicator, comfortable liaising with overseas suppliers and internal teams across time zones

A proactive problem-solver who takes ownership without waiting to be asked

Comfortable with process — able to follow it, improve it, and build it where it's missing

Proficient in CRM and office systems (HubSpot preferred)
