FrontLine is currently building teams of passionate and dedicated staff with engaged leadership, systems and processes all working to produce great service for our clients all around Australia.

About the role

Working at FrontLine is exciting, challenging and rewarding. We have a “can do” attitude with all our jobs and are passionate about what we do for our customers and their properties.

We are looking for a Facilities Coordinator with a dynamic and positive “can do” mindset to join our energetic Commercial section, working from either our office in Brisbane, QLD or Sydney (Kirrawee), NSW.

This role has end-to-end ownership of a portfolio of commercial sites. You will be accountable for making sure services are booked, delivered, and verified to standard across your portfolio. That means scheduling ongoing services, following through to confirm each service was completed to the quality our customers expect, and holding Delivery Partners to account on compliance. You will build strong relationships with clients and Delivery Partners, ensure work is delivered safely, on time and to a high standard, and provide a seamless customer experience every step of the way.

FrontLine is a proud veteran-owned business. We encourage veterans and first responders to apply - your discipline, reliability, and site-based experience translate directly into this role.

• Scheduling and coordinating ongoing services across your portfolio of commercial sites

• Confirming services were completed on time and to the required quality standard

• Monitoring Delivery Partner compliance - licences, certifications, insurances, and SOP adherence

• Following up on non-conformances with Delivery Partners and escalating where required

• Supporting invoicing by ensuring service completion and compliance records are accurate and complete

• Acting as the day-to-day point of ownership for your sites, coordinating Delivery Partners to deliver against contract expectations

• Maintaining registers and records for day-to-day compliance and reporting requirements

• Building strong working relationships with both customers and Delivery Partners

What we're looking for from you

• Confidence taking ownership of a portfolio of sites and the Delivery Partners servicing them

• You care deeply about the customer experience and hold others to that same standard

• Comfortable following up professionally and holding Delivery Partners accountable

• A growth mindset and a positive attitude

• Strong ability to work cooperatively and collaboratively in a team environment

• Great communication skills

• Proven record of exceeding client expectations

• A strong sense of responsibility and the ability to demonstrate initiative

• A great work ethic with self-motivation and reliability

• Some commercial property, facilities, or contract services customer service experience

• Ability to maintain registers and compliance records across day-to-day business practices and SOPs

• The ability to follow procedures and work programs as directed, while using judgement on quality and compliance matters

• A proven commitment to safety in the workplace

• Able to work unsupervised or as part of a team, and to share knowledge with others

Desirable licences / checks if held

• Current driver's licence

• Police Check

• Working with Children Check (WWCC)

• Defence Common Access Card (DCAC)
