About the role
Orca Recruitment is seeking a Planning/Mobilisation Officer to join our team on a full-time basis in Rockingham Beach, WA 6168. This role is central to our recruitment operations, ensuring seamless coordination between candidate placement and client onboarding. You will be responsible for orchestrating the mobilisation of candidates into new roles, managing timelines, and ensuring all parties are prepared for successful transitions. This position plays a vital strategic role in maintaining our reputation for excellence and supporting the growth of Orca Recruitment's business.
Key responsibilities
Coordinate and manage the mobilisation process for newly placed candidates, ensuring smooth transitions into client organisations
Develop and maintain detailed project plans and timelines for candidate placements and onboarding activities
Liaise with clients, candidates, and internal teams to confirm requirements, documentation, and pre-placement arrangements
Track and monitor all mobilisation activities, identifying potential delays or obstacles and implementing proactive solutions
Prepare comprehensive mobilisation documentation, including induction packs, compliance checklists, and procedural guides
Manage logistics associated with candidate placements, including IT setup, access arrangements, and facilities coordination
Maintain accurate records and databases to track placement progress and mobilisation metrics
Communicate status updates to stakeholders, providing regular reports on placement timelines and outcomes
Identify process improvements and contribute to the refinement of mobilisation procedures
Support the recruitment team with administrative tasks and candidate lifecycle management
What we're looking for
Proven experience in recruitment, human resources, or related administrative roles, with demonstrated knowledge of candidate onboarding and mobilisation processes
Strong organisational and project management skills, with the ability to manage multiple placements simultaneously and meet tight deadlines
Excellent communication abilities, both written and verbal, with confidence in liaising with diverse stakeholders
Meticulous attention to detail and commitment to accuracy in documentation and record-keeping
Proficiency with Microsoft Office applications and recruitment management systems
Ability to work independently and as part of a collaborative team environment
Problem-solving mindset with the capacity to identify and implement practical solutions
Understanding of employment law, compliance requirements, and workplace health and safety standards is advantageous
Experience with spreadsheet management and data analysis is preferred
