Responsibilities

Lead the Document Control section and supervise day-to-day document control activities to ensure timely, accurate, and compliant handling of controlled documents

Oversee Engineering Change Notice (ECN) processing, including circulation, review coordination, approval follow-up, implementation control, and release of updated documentation

Coordinate part number creation, product data setup, BOM uploads, and revision control activities in the ERP system, ensuring accuracy and traceability of product information

Ensure documents are created, reviewed, approved, issued, updated, distributed, archived, and retrieved in accordance with company procedures and applicable QMS requirements

Coordinate with Engineering, Production, Procurement, Quality, Marketing, and other functions to ensure documentation accuracy, completeness, and timely implementation of changes

Maintain controlled document registers, master lists, document numbering, revision history, retention records, and obsolete document control to prevent unintended use

Support QMS documentation administration, including procedures, work instructions, forms, records, specifications, customer documents, and external standards

Ensure document control activities support compliance with ISO 9001, ISO 13485, AS9100, customer requirements, regulatory requirements, and internal procedures

Support internal, customer, certification, and regulatory audits by preparing required documents, records, and objective evidence related to document control

Monitor document control performance, identify process gaps, train section members, and drive improvements in document workflow, retrieval efficiency, standardisation, and digitalisation

Requirements

Diploma or Degree in Engineering, Business Administration, Quality Management, or a related discipline

Minimum 5 years of experience in Document Control, BOM management, ECN administration, or related functions

Minimum 2 to 3 years of supervisory or team lead experience in document control, quality documentation, or related functions is preferred

Experience in manufacturing, electronics, medical devices, aerospace, semiconductor, or precision engineering industries is an advantage

Mature, responsible, and able to work effectively under pressure

Experience supporting multi-site operations and cross-functional teams is preferred

Good knowledge of Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint

Familiarity with ERP systems, preferably Oracle or NetSuite
