About the role
We are seeking a detail-oriented and organised Purchasing Officer to join the administrative team at Nicks Restaurant & Bar Group in Sydney. This is a full-time position based in Sydney, Cockle Bay. As a Purchasing Assistant, you will play a crucial role in supporting our procurement operations, ensuring the smooth acquisition of supplies and materials needed across our restaurant and bar venues. You will work closely with our senior management team to maintain efficient purchasing processes, manage supplier relationships, and contribute to the operational success of our hospitality business.
What you'll be doing
Processing purchase orders and processing invoices from suppliers.
Oversee the entering of monthly stocktakes for food and beverage and report on variances
Liaising with our internal warehouse as well as external suppliers to obtain quotations, pricing information and product availability
Processing weekly orders of crockery, cutlery, glassware, chemicals.
Maintaining accurate records of purchases, invoices and delivery documentation
Verifying received goods against purchase orders and delivery notes
Supporting the management team with inventory management and stock level monitoring
Preparing purchase reports and assisting with budget tracking
Handling supplier communications and resolving any delivery or quality issues
Maintaining organised filing systems and databases for purchasing records
Supporting cost reduction initiatives and identifying opportunities for improved supplier terms
What we're looking for
Proven experience in a purchasing, procurement or administrative support role, ideally within hospitality, food service or a similar fast-paced environment
A background in an accounting or similar roles.
Strong organisational and time management skills with the ability to manage multiple tasks simultaneously
Proficiency in Microsoft Office applications, particularly Excel and Word
Excellent attention to detail and accuracy in documentation and data entry
Good communication skills and the ability to work effectively with suppliers and internal stakeholders
Basic numeracy skills and familiarity with purchase order systems or similar software
A proactive approach with the ability to work independently and as part of a team
Knowledge of food and beverage purchasing processes would be advantageous
