The Role

We're looking for a highly organised Office & Events Coordinator who thrives on keeping things running and bringing moving parts together.

You'll be the backbone of our Byron Bay office. You'll keep both offices running smoothly, handle the admin that keeps the team moving, and support the planning and delivery of premium client events across Australia and New Zealand.

This role covers venues, travel, suppliers, logistics and attendee communication, working closely with the Operations & Events Manager and the wider team.

You'll also attend selected live events to provide on-site support, helping ensure every event runs professionally and delivers a world-class experience for attendees.

This role suits someone who enjoys organisation, problem-solving, and seeing complex plans come together.

Who You Are

Highly organised and able to manage multiple moving parts at once

Strong attention to detail and pride in work that's well executed

Clear, professional communicator, both written and verbal

Confident dealing with clients, venues and suppliers

Comfortable in a fast-moving environment with changing priorities

Proactive, and able to anticipate problems before they happen

Happy to roll your sleeves up on the small stuff as well as the big stuff

Comfortable using Google Workspace or similar systems

Previous experience in events, administration, office coordination or customer service is highly valued

Hold a current Australian Driver's Licence

Willing and able to travel interstate and to New Zealand

What You’ll Do
Office Management

Keep both Byron Bay offices organised, stocked and welcoming

Coordinate cleaners, maintenance, trades and building management

Manage office, kitchen and stationery supplies

Handle purchasing, receipts and approvals

Collect mail and complete office errands

Organise staff and client gifts

Prepare the weekly internal newsletter

Event Planning & Coordination

Research venues, manage enquiries and obtain quotes

Assist with event budgeting and cost tracking

Coordinate suppliers, including catering, AV, transport and accommodation

Liaise with clients and attendees regarding event requirements

Prepare run sheets and event logistics plans

Travel & Accommodation

Book flights and accommodation for staff and event attendees

Prepare detailed travel itineraries

Ensure all travel documentation is accurate and distributed on time

Client Communication

Confirm attendee registrations and send event updates and reminders

Respond to enquiries professionally and promptly

Contact potential attendees to help maximise event participation

Event Administration

Prepare event materials, including programs, signage, name badges and briefing documents

Maintain organised event documentation and records

Support general administration related to event delivery

People & Admin Support

Support new starter onboarding

Maintain accurate staff records

Provide general administrative support across the business

Live Event Support (Travel Required)

Attend approximately [X] live events per year across Australia and New Zealand

Assist with event setup, attendee check-in, supplier coordination and troubleshooting

Support the team to ensure events run smoothly and professionally

Be available to work Wednesday to Saturday during live event weeks

(All travel and accommodation expenses are covered by UpScale.)

Team Collaboration

Work closely with the Operations & Events Manager to ensure deadlines are met

Assist with post-event reviews and reporting

Contribute ideas to improve event delivery and attendee experience

Events delivered professionally and on schedule

Attendees have a high-quality, well-organised experience

Strong coordination across venues, suppliers and internal teams

Accurate travel logistics and documentation

Clear systems for event planning, communication and follow-up

Continuous improvement in event execution and attendee satisfaction

Requirements

Strong organisation and time management skills

Excellent attention to detail

Clear written and verbal communication

Confidence in dealing with clients and suppliers

Ability to prioritise in a fast-paced environment

Experience with Google Workspace or similar tools

Current Australian Driver's Licence

Willingness and ability to travel interstate and to New Zealand

Working Conditions

Primarily office-based in Byron Bay

Regular communication with clients, venues and suppliers via phone and email

Travel required for live events across Australia and New Zealand

Event weeks require availability Wednesday to Saturday, including Saturday work

Some flexibility outside standard business hours during peak event periods
