The Project Coordinator provides administrative and coordination support to the Group Project Manager to ensure the successful progression of customer onboarding, raw material supplier approvals, and new product introduction (NPI) projects.

Working closely with Quality Assurance, Operations, Production, Procurement, and Commercial teams, the Project Coordinator is responsible for coordinating project activities, maintaining project documentation, tracking milestones, following up on outstanding actions, and providing clear visibility of project progress across the business.

This role plays a key part in ensuring cross-functional teams remain aligned and projects continue to progress in accordance with agreed timelines and TGA/GMP requirements.

Key Responsibilities

Project Coordination

Support the Group Project Manager in coordinating multiple concurrent customer, supplier and new product introduction projects.

Develop and maintain project schedules, trackers and status reports.

Monitor project milestones and proactively follow up outstanding actions with internal stakeholders.

Coordinate project meetings, prepare agendas, record minutes and distribute action items.

Ensure project documentation is current, complete and accurately maintained.

Assist with identifying project risks, dependencies and potential delays for escalation to the Head of Projects.

Maintain visibility of project status across all active projects.

Customer Onboarding

Coordinate activities required to onboard new customers into the facility.

Liaise with internal departments to ensure onboarding documentation and approvals are completed.

Track progress against implementation plans and communicate updates to stakeholders.

New Product Introduction (NPI)

Coordinate cross-functional activities associated with introducing new products into manufacturing.

Track completion of specifications, artwork, manufacturing documentation, quality documentation, change control actions and production readiness activities.

Ensure all required approvals and documentation are completed before project milestones are achieved.

Raw Material & Supplier Implementation

Coordinate supplier onboarding and raw material approval activities.

Track supplier qualification documentation and approval status.

Liaise with Procurement and Quality teams to ensure implementation activities remain on schedule.

Administration & Reporting

Maintain project registers, dashboards and reporting tools.

Prepare weekly project status reports for the Head of Projects.

Assist with maintaining project templates, documentation and standard operating procedures.

Support continuous improvement initiatives within the Projects function.

Essential

1-3 years’ experience in project coordination, manufacturing, operations or within GMP, FMCG, pharmaceutical, complementary medicines, food or similar industries.

Experience managing projects from planning through to completion, including timelines, resources and deliverables.

Experience coordinating across Quality, Production, Warehouse, Procurement, R&D and external stakeholders.

Strong organisational, documentation and problem-solving skills.

Ability to manage multiple projects and competing priorities.

Desirable

Experience in a TGA-licensed or GMP manufacturing facility.

Knowledge of PIC/S GMP or Australian regulatory requirements.

Experience with ERP or project management systems.

Formal project management training or qualification. Not essential.

The role is hybrid with a mixture of office and working from home
