About the Role
We're looking for a warm, organised and tech-savvy Business Operations Coordinator to join our small, collaborative team.
This is a varied role where no two days are the same. You'll often be the first point of contact for the people we work with, playing an important role in creating the caring, responsive and personalised experience we're known for.
Behind the scenes, you'll respond to enquiries, coordinate bookings, maintain our business systems, support workshops and consultation services, and provide day-to-day operational support to the Director, Strategic Business and Practice Manager and associates. You'll play an important role in helping the business run smoothly while contributing practical ideas that improve our systems and processes, making things easier for both our team and the people we support.

Caroline Burrows Consulting & Training is one of Australia's leading providers of EMDR education, consultation and professional development for mental health practitioners.
Through workshops, webinars and consultation, we support psychologists, counsellors, social workers and other mental health professionals to build their confidence and skills in EMDR therapy and trauma-informed practice.

What You'll Do
Your work will be varied and is likely to include:
Responding to enquiries from trainees, consultees, workshop participants and associates with warmth and professionalism.
Coordinating workshop, webinar and consultation bookings.
Supporting participants from their first enquiry through to service completion.
Coordinating workshop logistics, including venues, travel, accommodation and catering.
Preparing participant communications, resources and certificates.
Maintaining business systems across platforms including Google Workspace, Squarespace, Acuity, Halaxy and Mailchimp.
Supporting business automations, operational documentation and approved system improvements.
Providing day-to-day operational support to the Director, Strategic Business and Practice Manager, associates and the wider business.
About You
You'll thrive in this role if you're someone who genuinely enjoys helping people.
We're looking for someone who notices the little things, enjoys helping others and takes pride in creating a positive experience for everyone they work with.
You're organised and dependable, but you're also warm, intuitive and thoughtful in the way you communicate. You enjoy solving problems, learning new technology and helping everything run smoothly behind the scenes.
You'll ideally bring:
Experience in administration, business operations or project coordination
Excellent organisational and time management skills
Strong written and verbal communication skills
Excellent attention to detail
Confidence learning new software and technology
Strong problem-solving skills
The ability to work independently while collaborating closely with others
A warm, professional and customer-focused approach
It would also be great if you have experience coordinating workshops or events, using CRM or booking systems, working with automation platforms such as Zapier, or using AI to improve business efficiency.
What's on Offer
Full-time position.
Primarily remote, with regular in-person meetings in Melbourne and attendance at workshops and other business activities as required.
Above-award salary of $75,000-$85,000 plus superannuation.
