About Us
GaP Solutions is a leading provider of commercial food equipment, POS systems and technology solutions, supporting customers across Australia. We're looking for an organised and customer-focused Service Administration Officer to join our team and play a key role in supporting our busy Service Department.
This is a varied role that combines service administration, customer service and general office support. You'll be responsible for ensuring service work is accurately invoiced, customer contracts are managed efficiently, and enquiries are directed to the right people to keep our business running smoothly.
About the Role
Your primary responsibilities will include:
Processing service invoices accurately and in a timely manner
Managing invoicing for key customer Service Level Agreements
Administering scheduled preventative maintenance and contract work
Coordinating and tracking company loan equipment, including issue, returns and documentation
Maintaining accurate customer and service records
Supporting the Service Department with administrative tasks and reporting
You'll also provide front-of-house administration by:
Answering and directing inbound phone calls
Triaging enquiries for Sales, Service, Help Desk and AR/AP
Greeting/assisting customers with general enquiries
Providing administrative support across the business as required
About You
To be successful in this role you'll have:
Previous experience in an administration or customer service role
Excellent organisational and time management skills
Strong attention to detail and accuracy
Confidence managing multiple priorities in a fast-paced environment
Professional communication skills, both written and verbal
A positive, team-oriented attitude
Sound computer skills, with experience using Microsoft Office (experience with BC365 is highly regarded)
