About us:

Our Gynae-Oncology practice is looking for a compassionate, empathetic, detail-oriented, and experienced senior medical secretary to join our team. Our practice mission is to deliver a supportive and empathetic patient journey, ensuring our patients are cared for with the utmost professionalism and attention.

To say our Surgeon is delightful, supportive and amiable would be an understatement. You will also be working closely with our Part Time Practice Nurse.

We work in shared rooms with a delightful Paediatric practice, but we work as separate practices.

About you:

This is a multifaceted role, where you’ll play a key role in welcoming patients and ensuring a smooth, efficient flow through the practice. Our mission is to ensure all patients feel valued, heard, and the most important patient in our care. Therefore, your attention to detail skills will only come second to your customer care. You will be a true gatekeeper to our lovely Surgeon, so that he can concentrate on what he does best – utilising his clinical skills to look after our lovely patients.

You will bring your mature mindset and extensive private practice experience to support our practice. Happily supporting our Surgeon and patients during their practice journey.

Our ideal candidate will have the following:

Experience in excelling at customer service. Surgical practice experience is viewed highly.

Excellent communication skills with a positive and friendly manner and can-do attitude

Professional appearance and demeanour in writing, in person and on the phone

Strong attention to detail attributes

Experience using multiple types of software and enjoy upskilling

IT savvy – your IT skills are your pride and joy!

Ability to work independently with initiative and also love being part of a cohesive team

Constantly takes pride in their work and productivity, who loves to assist and is flexible in times of demand, with a can-do attitude.

Ability to work well under pressure and to multi-task in a busy environment and fully open to direction to ensure the smooth running of the Practice

Responsibilities will include:

Welcoming patients into the practice in an efficient, friendly and courteous manner

Delivering exceptional customer service at all times

Scheduling and managing patient appointments and assisting with consultation sessions, including invoicing, receipting and uploading relevant reports/scans

Collecting and entering patient details

Answering phone calls and enquiries in a timely, professional and friendly manner

Performing general administrative duties and ad-hoc duties as required for the Surgeon

Managing Theatre admin duties, including booking, billing and quoting (AMA and known Gap)

Hybrid role (WFH minimum 1 day per week, when fully trained and mutually agreed)

Hours:

Monday to Friday

8:30am till 5:00pm (30 minute unpaid lunch)

Pay rate:

$38.00 - $43.00 per hour plus super
