About the role

CHL INTERIOR MAXDONE PTY LTD is seeking a dedicated Admin Assistant / Client Liaison / Invoicing to join our team in Canberra. This is a part-time position based in our Canberra ACT 2600 office. In this role, you will be the vital link between our clients and internal teams, managing administrative tasks, client communications, and financial documentation. You will play a key part in ensuring smooth operations and maintaining positive client relationships whilst supporting our broader business objectives.

What you'll be doing

Managing client enquiries and communications, responding promptly and professionally to ensure high levels of customer satisfaction

Preparing, processing and monitoring invoices, ensuring accuracy and timely distribution to clients

Maintaining comprehensive client records and databases, keeping information up to date and organised

Coordinating with internal teams to gather necessary information for invoicing and client reporting

Handling general administrative duties including scheduling, data entry, and document management

Following up on outstanding invoices and assisting with payment collection processes

Supporting the organisation of client meetings and events as required

Providing administrative support to senior staff and management

What we're looking for

Proven experience as an administrative assistant, client liaison officer, or similar role within a professional environment

Strong organisational and time management skills with the ability to manage multiple tasks simultaneously

Excellent written and verbal communication abilities with a professional demeanour

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting or invoicing software

Attention to detail and accuracy, particularly when handling financial documents and client information

Ability to maintain confidentiality and handle sensitive client information responsibly

Customer service excellence and the ability to build positive client relationships

Reliability and flexibility to adapt to changing priorities in a part-time role

Preferred: Experience in the interior design, construction, or project-based industries
