About the Role

The Reception, Administration, Café & Learn-to-Swim Co-ordinator is responsible for the day-to-day coordination of customer-facing operations at the Denise Spencer Aquatic Centre. This role oversees front-of-house services, administrative processes, café operations, and the Learn-to-Swim (LTS) program to ensure a safe, welcoming, efficient, and community-focused aquatic environment.

The Supervisor provides leadership to casual and part-time staff, ensures compliance with industry standards, supports centre management, and delivers high-quality service to patrons of all ages.


Key Responsibilities

Reception & Customer Service

  • Front-of-house operations - Oversee daily reception duties including customer enquiries, membership processing, point-of-sale transactions, and facility access.
  • Customer experience - Ensure all patrons receive friendly, efficient, and professional service.
  • Staff supervision - Train, roster, and support reception staff to maintain consistent service standards.
  • Issue resolution - Manage customer complaints, feedback, and incident reporting.

Administration

  • Record management - Maintain accurate attendance, membership, financial, and program records.
  • Compliance support - Assist with audits, safety documentation, and operational reporting.
  • Financial processing - Oversee daily takings, banking, invoicing, and reconciliation.
  • Communication - Coordinate internal communication between staff, management, and external stakeholders.

Café Operations

  • Café supervision - Oversee the operation of the pool café including food preparation, stock control, and hygiene standards.
  • Food safety - Ensure compliance with Queensland food safety regulations.
  • Staff training - Train café staff in customer service, safe food handling, and POS systems.
  • Stock & ordering - Manage inventory, supplier orders, and cost control.

Learn-to-Swim (LTS) Program

  • Program coordination - Oversee scheduling, enrolments, class allocation, and program delivery.
  • Instructor supervision - Support, mentor, and roster swim instructors to ensure high-quality lessons.
  • Program quality - Maintain alignment with AUSTSWIM/RLSSA teaching standards.
  • Parent communication - Provide updates, feedback, and support to families enrolled in the program

Leadership & Team Support

  • Team leadership - Provide positive, hands-on leadership across all supervised areas.
  • Training & onboarding - Support new staff with induction, training, and ongoing development.
  • Rostering - Create and manage rosters to ensure adequate coverage across reception, café, and LTS.
  • Workplace culture - Promote a safe, inclusive, and supportive team environment.
