About the role

Reporting to the Program Governance Manager, this role will support GIICA’s Accessibility Lead with the coordination of GIICA’s Accessibility Reference Group, ensuring the inclusion of people with lived experience of disability, Para sport user groups, and subject matter experts to inform venue planning, design, and delivery across the GIICA venues program. It will also be responsible for coordinating and delivering high-quality PMO secretariat services across GIICA’s venues program

The Accessibility Reference Group (ARG) Coordinator and Program Governance Officer supports the effective operation of these forums to in line with their Terms of Reference, enabling inclusive and meaningful engagement and ensuring high-quality, timely decision making.

Acting as a central coordination point, the role works closely with internal stakeholders, external partners, and delivery teams to support GIICA’s commitment to inclusive stakeholder engagement and effective governance decision-making.

This role is an up to 5 year, full-time, max-term role with the possibility of extension.

About your responsibilities

Accessibility Reference Group (ARG)

Lead the coordination of the ARG Engagement process, including full secretariat and governance support for the Accessibility Reference Group meetings.

Provide direct support to the Accessibility Lead (ARG chair), including preparation of agendas, coordination of design presentations, taking minutes, tracking actions and maintaining the ARG feedback register.

Facilitate ARG meetings when required in the ARG chair’s absence.

Support the establishment and ongoing operation of the Accessibility Reference Group in partnership with relevant Disability Peak Bodies.

Build and maintain strong, respectful relationships with people with disability, lived experience contributors, advocates and subject matter experts.

Oversee the budget allocation and expenditure associated with ARG engagement.

Ensure all ARG engagement activities are accessible and inclusive, including accessible meeting formats, documentation and reasonable adjustments, and contribute to continuous improvement of accessibility engagement practices.

Governance committees

Coordinate and manage committee activities across the GIICA Venues Program, including forward planning aligned to key project milestones.

Provide end-to-end PMO secretariat support across assigned committees, including scheduling, agenda preparation, coordination of papers and presentations, minute taking, action tracking, and follow-up.

Prepare presentations and briefing materials for committees, coordinating input from internal teams, technical advisers, external consultants, contractors and other stakeholders.

Act as a liaison between committee members, GIICA teams, technical advisers, external consultants and contractors to support effective communication and timely information flow.

Support the systematic capture, tracking and reporting of decisions and actions, and monitor progress on implementation across projects.

Ensure committee and forum operations align with GIICA governance requirements, including ethics, probity, confidentiality and conflict of interest processes.

Contribute to the development, maintenance and continuous improvement of PMO secretariat standards, processes, templates and documentation.

Support the development and maintenance of information flow architecture to enable clear decision-making, action traceability and consistency across forums

Provide support to external stakeholder committees and the Board secretariat to ensure the flow of information and decisions to the appropriate governance forum.

About you

You will bring a strong commitment to accessibility, inclusion and respectful engagement, together with:

Demonstrated experience providing PMO secretariat, governance or advisory group support in major infrastructure or capital works delivery environment.

Experience coordinating meetings, preparing agendas and papers, minute taking, action tracking and maintaining formal records.

Well-developed written and verbal communication skills, with strong attention to detail.

Strong organisational skills, with the ability to manage competing priorities across multiple projects, working independently and proactively resolve outstanding items with minimal supervision.

Demonstrated skill in building collaborative partnerships with diverse stakeholders and respectfully engaging with people with disability.

An understanding of accessibility, Universal Design principles, para sport functional requirements and/or engagement with people with lived experience of disability within built environment, infrastructure or capital works projects.

Relevant tertiary qualifications (such as public administration, community engagement, disability studies, design/engineering, planning or a related field) will be highly regarded.

Familiarity with Architectural drawings and design presentations is desirable.
