Position: APS5 Executive Assistant
Location: Melbourne, VIC
Start date: ASAP
Duration: Approx 12 months with potential to extend
Pay rate: $60.04 - $64.19 per hour plus 12% superannuation
Security requirements: Baseline clearance (or ability to obtain)
Overview
A Federal Government agency is seeking an experienced APS5 Executive Assistant to provide high-level support to senior executives based in Melbourne. This role is fully onsite and will see you working closely with Commissioners, ensuring the smooth coordination of daily operations, communications and administrative functions.
Responsibilities:
- Manage and coordinate complex diaries and inboxes, including scheduling meetings and prioritising urgent or sensitive correspondence
- Coordinate workflow by triaging, delegating and responding to requests, ensuring deadlines and priorities are met
- Arrange travel and process related approvals in line with financial guidelines
- Organise meeting logistics including agendas, briefing packs and room bookings
- Maintain accurate records using departmental systems in line with governance requirements
Experience/requirements:
- Demonstrated experience in an administrative or coordination role, with strong organisational and time management skills
- Excellent written and verbal communication skills
- Ability to manage competing priorities in a fast-paced environment
- Strong stakeholder engagement skills with the ability to build effective working relationships
- Ability to work independently, exercise sound judgement and take ownership of tasks
- Strong problem-solving skills and ability to anticipate executive needs
- Proficiency in Microsoft Office and ability to quickly learn internal systems
- High level of professionalism, discretion and integrity
Highly desirable:
- Previous experience working as an Executive Assistant within Federal Government.
- Previous experience supporting senior executives such as Commissioners, Deputy Secretaries or equivalent
