The Corporate Services branch plays a crucial role in enabling VGSO's overall success by providing essential support and strategic guidance to enhance operational efficiency and effectiveness. Balancing an appreciation of the complexities and nuances of the public sector, along with the requirements of operating in a competitive legal services environment, the branch delivers proactive, effective and efficient services to VGSO's internal and external clients.

Through its work, the Corporate Services branch fosters a cohesive and supportive environment that encourages innovation, continuous improvement, and a client-centric approach.

Functionally, the following business areas are included within the Corporate Services branch:

  • Office of the Chief Operating Officer (Strategy and Governance)
  • Financial Planning and Analysis
  • Technology and Knowledge Management
  • Client Insights and Communications

The Records Management Assistant position sits within the Knowledge Management Team.

About the role

An exciting opportunity exists for an enthusiastic Records Management Assistant to join our Branch as part of the Knowledge Management Team that provides knowledge management, records management, precedent development services, and eDiscovery services to the VGSO.

Key responsibilities include:

  • Records management and archiving, including appraisal and sentencing of recordsDigitisation
  • Data entry and analysis
  • Stocktaking
  • Liaising with internal and external service providers
  • Facilitation of records management training and education
  • General administrative tasks

This ongoing opportunity will be based in the Melbourne CBD.

Skills and experience

The ideal candidate will preferably have some experience in a professional services setting, however, we are keen to hear from candidates with demonstrated experience in performing a range of records management and administrative duties in an office environment.

You will bring with you to this role:

  • Demonstrated experience in records management practices.
  • Demonstrated experience in an office based administrative role.
  • Experience using Microsoft suite, Adobe and Document Management Systems.
  • A track record of excellent client service and a flexible 'can do' attitude.
  • Strong interpersonal and communication skills, including a demonstrated ability to function within a team environment and to communicate with people at all levels.
  • Demonstrated organisational skills with the proven ability to multi-task and meet relevant deadlines, whilst maintaining effective work practices.
  • Good written skills and attention to detail.
  • Demonstrated ability to use initiative to proactively seek work, and identify systems and processes requiring improvement.
  • Ability to appropriately deal with sensitive and highly confidential information with a high level of tact, discretion and judgment.
