About the Role
We’re looking for a bright, organised and proactive Client Support & Operations Coordinator to help our growing team deliver exceptional service.
You’ll play a vital role supporting our SMSF and Tax specialists, ensuring every client receives the attention, clarity, and care they deserve. From managing data and documentation to keeping communication flowing, you’ll help the team deliver seamless client experiences.
You don’t need a background in finance, tax, or property, we’ll teach you that. What matters most is your mindset: a love of detail, curiosity to learn, and a commitment to doing things right.
Key Responsibilities
1. Client Communication & Relationship Building
Engage directly with clients via phone and email to guide them through key administrative steps in their journey. Build positive, professional relationships by providing clear instructions, answering questions, and ensuring clients feel supported throughout the process. Proactively follow up to keep communication open and maintain strong client satisfaction.
2. Data Entry & Validation
Accurately enter and maintain client data in relevant systems, including setting up new bank accounts, processing superannuation rollovers and transfers, and collecting required documentation. Ensure all information is complete, consistent, and verified before progressing to the next stage.
3. Logging Activity
Use our CRM as the single source of truth for client activity. Record all communications, status updates, and task progress promptly and accurately.
4. Invoicing
Prepare and issue client invoices in line with service agreements. Set up payments for client approval, confirm accuracy of amounts and details, and follow up to ensure timely completion. Liaise with internal teams as needed to resolve any billing questions or discrepancies.
5. Pipeline Administration Tasks
Take responsibility for ensuring clients progress smoothly through our onboarding and service processes. Anticipate potential roadblocks, provide support where needed, and collaborate with colleagues to keep clients moving forward efficiently.
About You
This role is ideal for someone early in their career who wants to grow within a values-driven company and learn across a range of business and client-focused areas.
You may have a degree or diploma and around 1–2 years’ experience in administration, customer service, or operations. You’re someone who takes pride in getting things right, enjoys variety, and thrives in a collaborative team.
