Your Opportunity

As the SRTO Notifications Officer you will be responsible for:

  • liaise across a broad range of internal and external key stakeholders in regards to new apprentice notifications in accordance with user choice policies and procedures.
  • maintain and manage administratively various data bases and programs for the purpose of tracking all new TQ apprentice notifications.
  • build and maintain solid relationships with all TQ regions, students, employers and network providers.
  • contributing to the positioning of TAFE Queensland as the lead provider of technical training through the effective promotion of Region products and services as they relate to apprenticeship management.

This position reports to the Operational Team Leader, Client Account Management and works collaboratively within a multi-disciplinary Apprenticeship Management and Administration team.

This is a Temporary, full-time opportunity, to 29 January 2027 unless otherwise determined.

The position will be based primarily at Acacia Ridge however you may be required to perform work at other TAFE Queensland campuses.

Key Responsibilities

  • TAFE Queensland programs and services; and
  • a working knowledge of all applicable legislation, regulations, policies and guidelines to ensure the Region’s pre-qualified supplier (PQS) and Australian Skills Quality Authority (ASQA) compliance.
  • Schedule A, QTIS, TQ program list and training.gov
  • Contribute to the success of cultural change within the organisation through promoting and modelling SkillsTech’s core values and Agreed Behaviours and the established TAFE Queensland values of Working Together, Focussing on our Customer, Taking Responsibility, Showing Initiative, and Safety First.
  • Manage the whole of TAFE Queensland SRTO Notification inbox whilst ensuring key performance indicators (KPIs) and contractual timeframes are maintained and adhered too.
  • Liaise proactively with employers, apprentice/trainees, Apprenticeship Network Providers and representatives of TAFE Queensland and other relevant Queensland Government Departments to provide accurate and timely advice with regard to TAFE Queensland programs and services.
  • Utilise a range of software applications and student management systems to perform the administrative functions throughout the apprentice/trainee training lifecycle.
  • Provide management and key stakeholders accurate reporting and a comprehensive analysis in relation to performance targets and statistics periodically as requested.
  • Maintain currency of skills and knowledge relevant to apprenticeship training, including:
  • Assist with the development and preparation of reports and correspondence relevant to the business operations of the team; contributing to the monitoring of operational performance and enabling the provision of timely and accurate information to all stakeholders.
  • Provide general administrative assistance and perform office management functions as required to support the day to day operations of the team, including but not limited to the management of inbound and outbound telephone calls, record management and generic email communications through individual and shared mailboxes.
  • Contribute to continuous improvement through active participation in the development and review of business processes, documentation and practices as they relate to apprenticeship training and management.
  • Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the team through knowledge sharing and the provision of support, guidance and collaboration.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:

  1. Sound knowledge, or the ability to acquire knowledge, of legislation, policy and procedures relevant to apprentice/trainee training, including compliance with PQS and ASQA requirements.
  2. Ability to communicate effectively, including developing rapport and maintaining positive and collaborative working partnerships with a range of internal and external stakeholders.
  3. Proficiency in the use of a range of computerised systems and applications relevant to the administrative management of the apprentice/trainee lifecycle , including the ability to generate reports and correspondence and extract and compile accurate and meaningful data to provide advice to stakeholders.
  4. Demonstrated communication and problem solving skills, including the ability to work effectively under pressure, prioritise tasks, and deliver successful outcomes within specified timeframes.
  5. Ability to effectively contribute to a high performing team, ensuring that all work is completed to a high standard within negotiated timeframes and proactively seeking and facilitating opportunities for self-development.
