We are seeking a highly organised and detail-oriented Operations and Logistics Coordinator to assist with the planning and execution of the Australia Day event. This role involves working closely with the Operations & Logistics Manager and Project Leads to ensure all event-related tasks are completed efficiently and effectively.
The ideal candidate will have excellent communication skills, experience in event coordination, and a proactive approach to problem-solving.
Start Date: 3rd November 2025
End Date: 6th February 2026
Location: The Rocks, Sydney
Payrate: $350 per day + super
Hours: 8 per day, 40 per week (increased hours for the two week period during Australia Day)
Key Responsibilities
Travel:
Assist the Operations & Logistics Manager in booking travel arrangements for staff and suppliers
Distribute all travel itineraries and manage any changes with our travel provider
Accreditation:
Consolidate and distribute accreditation numbers to relevant parties.
Catering:
Organise catering arrangements for staff and suppliers.
Logistics:
Work with the Project Managers to consolidate pack lists and signage requirements, working with the warehouse manager and runners to ensure timely delivery of materials to the event site
Communication and Correspondence:
Manage incoming and outgoing phone calls, emails, and correspondence for the Australia Day inbox and phone number.
Ensure prompt and professional communication with all stakeholders.
Meeting Coordination:
Organise, schedule, and create agendas for various stakeholder meetings, including Security Crowd
Management and Australia Day Internal Project Team meetings.
Take minutes during meetings and distribute them in a timely manner.
Document Management:
Update and maintain documents such as contact lists, communications structures, organisation charts, and readiness exercises.
Share event management plans with agency stakeholders via the Events Hub.
Event Planning and Coordination:
Assist with event coordination, planning projects, and administrative tasks to ensure the delivery of professional, safe, and high-quality events.
Ensure compliance with government procedures, legislative requirements, and industry standards.
Staff Orientation and IT Setup:
Assist with the orientation of new staff members.
Submit forms for IT access, laptops, and passes.
Project Support:
Support the Project Managers in printing, organising, and posting vehicle passes, vessel packs, and music sheets.
Onsite Work:
Work onsite during January to ensure the smooth delivery of the Australia Day event
Contribute to the Ops Production Schedule ensuring all tasks are listed and monitored
Work with the warehouse manager to ensure the successful delivery of pack list requirements to site
Manage a signage team to ensure all signage is delivered to site and installed
Triage incoming calls and radio requests from Project Leads, addressing requests and
providing timely updates.
Post-Event Duties:
Assist in delivering all items from site back to our warehouse and updating the stocktake of inventory with the warehouse manager
Gather feedback and insights for future events via debrief meetings
Mandatory Requirements:
Willing to undergo a Police Check
Must have 2 x work related references
