ABOUT THE ROLE

Reporting to the Human Resource Manager, The Data Control Officer is responsible for maintaining and managing the integrity, security, and accessibility of Darumbal Enterprises’ corporate and operational records. This role ensures that data and documentation are accurately recorded, systematically stored, and readily accessible to support business operations, governance, compliance, and reporting obligations.

The Data Control Officer plays a critical role in supporting organisational efficiency, regulatory compliance, and information management across all business units.

KEY RESPONSIBILITIES

Maintain and manage all corporate, operational, and project-related records in compliance with internal policies and statutory requirements.

Ensure proper filing, indexing, and archiving of electronic and paper-based records.

Monitor and maintain data integrity, ensuring accuracy and completeness of information.

Implement and maintain version control and access protocols for all critical documents.

Assist in the management of confidential and sensitive information in accordance with privacy and data protection legislation.

Support the organisation in meeting compliance requirements under Fair Work, NES, and other relevant legislation.

Assist with preparation of records and documentation for audits, governance reviews, and reporting to external agencies.

Develop and maintain data management policies, procedures, and standard operating practices.

Provide administrative support to management and staff by preparing reports, maintaining databases, and generating documentation as required.

Assist in onboarding new staff with access to information systems and document management procedures.

Collaborate with other team members to ensure workflow efficiency and effective records management.

Identify opportunities to improve information management systems, processes, and workflows.

Support the implementation of digital solutions and tools to enhance data accessibility and compliance.

ESSENTIAL SKILLS AND EXPERIENCE

Essential:

Certificate III or IV in Records Management, Business Administration, Information Management, or related discipline, or equivalent relevant experience.

Desirable:

Experience with corporate records management systems or databases.

Knowledge of governance frameworks and regulatory compliance requirements in Not-for-Profit or Indigenous organisations.

Proven experience in records management, data control, or administration in a corporate, community, or government environment.

Experience managing both electronic and paper-based records, including classification, archiving, and retrieval.

Experience supporting audit, compliance, or reporting processes.

Prior experience within Aboriginal or Torres Strait Islander organisations will be highly regarded.
