About This Opportunity
We are seeking an organised and highly motivated Placement Administration Officer, with exceptional attention to detail and communication skills, to join our world-leading School of Pharmacy and Pharmaceutical Sciences on a permanent basis.
As the Placement Administration Officer, you will provide administrative support to the operations of student placements and work-integrated learning (WIL) within the School. You will work closely with the WIL Placement Coordinator and Academic Course Coordinators to support student placement activities including ensuring corporate systems are up to date; placement allocations are managed in a timely manner; placement agreements have been signed and filed; and students have completed all required compliance activities. And most importantly, you will work with academic and administrative staff across the School and Faculty to ensure that students have a positive experience while undertaking their placement.
Key responsibilities will include:
- Placement Program Management: Maintain and update placement systems (e.g. InPlace, ePortfolio), ensure data accuracy, and generate reports on student placements and hours, track rural placement budgets and claims, and monitor student activity and placement hours for rural sites.
- Stakeholder Communication & Support: Act as a point of contact for students, staff, and placement providers; respond to enquiries; provide advice on placement rules and processes; and triage issues appropriately.
- Administrative Coordination: Organise placement preparation activities (e.g. fit testing, training), distribute documentation, track enrolment and attrition, and follow up on outstanding records.
- Policy & Procedure Development: Collaborate with internal teams and external bodies to develop, implement, and align placement procedures with broader faculty and institutional policies.
About You
Our ideal candidate will possess:
- Completion of an undergraduate degree; or an equivalent combination of relevant experience and/or education/training.
- Excellent interpersonal, written, and oral communication skills and the ability to communicate effectively with a wide range of people.
- High level computer skills, including word processing, data storage and retrieval, University administrative systems (Business Objects, Si-net) for the accurate collection, detailed analysis and reporting of information.
- Ability to be flexible and adaptable to change and a willingness to explore new options and find creative solutions to problems.
- Demonstrated organisational skills and the ability to prioritise tasks including the ability to meet deadlines under pressure.
- Demonstrated ability to take initiative and a willingness to work across a range of activities.
- Demonstrated accuracy and attention to detail.
- Experience and/or familiarity with student administration, including knowledge of undergraduate degree programs and requirements, would be highly regarded.
