Our event portfolio includes Re:Formulate, our flagship national conference, as well as practitioner webinars, student programs with universities, and external industry events where we participate as a sponsor and exhibitor. As Practitioner Events Manager, you’ll own the full strategy and delivery of this portfolio — from calendar planning and program design through to logistics, communications, and post-event reporting.
This is a hybrid role, based at our Alexandria office, requiring a minimum of one day per week onsite and some travel to deliver events as required.

The Responsibilities
This role manages vital.ly’s practitioner events portfolio, including:
Re:Formulate – the annual flagship conference.
vital.ly events – webinars, workshops, and social events.
Student Program events – developed in partnership with universities and tailored for students.
External events – third-party events and conferences where vital.ly exhibits or participates.
Across all event categories, the Practitioner Events Manager is responsible for the following:
Strategic work
Event strategy and calendar planning – Develop and maintain the annual events calendar, aligning event selection, timing, and format with organisational objectives and practitioner engagement goals.
Budget and risk management – Establish and manage event budgets, negotiate supplier contracts, monitor expenditure, and implement risk management practices, including health and safety compliance.
Project management – Develop and maintain detailed project management plans for all events, breaking down tasks into categories with clear owners, timelines, dependencies, and progress tracking to ensure projects remain on schedule and within scope.
Event manual and playbook – Document and maintain a comprehensive Event Playbook capturing repeatable processes, templates, and checklists for all event types, ensuring continuous improvement and consistency of delivery.
End-to-end delivery
Program development – Lead concept, theme, and content development for each event; define audience outcomes; prepare speaker briefs and personas; interview and select speakers; guide them through our coaching and preparation process; design program flow, sequencing, and detailed run sheets to ensure events run with precision.
Stakeholder management – Engage with and manage different stakeholder groups, including speakers, partners, sponsors, ambassadors, and attendees, ensuring each group receives appropriate communication and support.
Event logistics – Oversee all operational requirements, including ticketing and pricing, venue selection and floor plans, exhibitor and sponsor activations, contractor management, printing and materials, merchandise, catering, A/V, visuals, and travel, ensuring professional delivery within budget and timeline.
Marketing and communications coordination – Work closely with the Marketing team to execute promotional campaigns and deliver accurate, timely communications to delegates, speakers, and sponsors.
Post-event evaluation and reporting – Conduct structured reviews including surveys of attendees and sponsors, and other stakeholders as relevant, analysis of outcomes against KPIs and ROI, and development of actionable recommendations to improve future events.
Industry relationships
Industry network development – Build and maintain deep practitioner, academic, and industry relationships in Australia and overseas to source speakers, secure partners and sponsors, engage ambassadors, and strengthen vital.ly’s reputation as a leader in practitioner events.
Requirements
Must haves:
Deep knowledge of the natural health, complementary medicine, or practitioner education sector, with established practitioner, association, university, sponsor, and/or speaker relationships.
Significant experience (5+ years) in event management, including ownership of medium to large-scale conferences, webinars, or education events.
Financial and budget management experience, including supplier negotiations and risk management.
Demonstrated project management capability, including use of structured project plans with tasks, owners, timelines, dependencies, and progress tracking.
Proven ability to design and deliver event programs, including theme development, speaker curation, and program scheduling with precision to run sheets.
Strong organisational skills, with demonstrated ability to deliver multiple events simultaneously to deadline and standard.
Strong stakeholder management skills across multiple groups (delegates, speakers, sponsors, partners, contractors), with demonstrated ability to build and maintain high-value relationships.
Excellent communication skills, both written and verbal, with the ability to brief, coach, and support speakers and contractors.
Willingness and ability to travel for events as required.
High level of technology competence, with demonstrated experience of using digital tools for event delivery, communications, and reporting.
This is a permanent, full-time position and requires unrestricted and ongoing work rights in Australia.
Nice to have:
Tertiary qualifications in event management, communications, marketing, education, or a related field.
Experience developing or managing student engagement programs in a university or education context.
Experience creating or maintaining event manuals, SOPs, or playbooks.
