Administration & Client Manager (Contractor – 20 hrs/week)
Rate: $45/hr | Contractor role | Work from home
We are a boutique Buyers Agency specialising in investment property and are seeking an Administration & Client Manager to support both our clients and the Director.
This role is part-time (approx. 20 hours per week), contractor-based, and fully remote. You must have a professional home workspace with reliable internet and the ability to securely manage confidential information.
Key Responsibilities
Manage clients throughout the construction and settlement process, ensuring clear communication and timely updates
Liaise directly with clients and stakeholders, including builders, developers, finance brokers, solicitors, and property managers
Maintain and update the CRM with client, property, and project details
Prepare and manage invoicing
Organise supporting services (rental management, depreciation schedules, etc.)
Deliver a “wow” experience for clients, with a focus on building long-term relationships and generating referrals
Provide PA support to the Director, including managing emails, calendar, and appointments
Assist with project management, ensuring tasks and milestones are delivered on time
Identify opportunities to streamline systems and processes, improving efficiency across the business
About You
Proven experience liaising directly with clients (not just back-office admin)
Excellent phone manner, professional communication skills, and client-first approach
Strong organisational skills with the ability to manage multiple stakeholders and projects simultaneously
Understands the importance of relationship-building, sales, and client retention
Tech-savvy with experience using CRMs and MS Office/Google Suite
Proactive, innovative, and comfortable suggesting new ideas to improve workflows
Background in property, finance, construction, or investment sales (highly regarded but not essential)
Must be able to work independently from a professional home office
What We Offer
