Andrea Trezise, Barrister & Solicitor is seeking a Receptionist/Office Administration Assistant. The position is permanent full-time, working Monday to Friday inclusive. Required working hours are from 8.30am to 5.00pm, with a one-hour unpaid lunch break each day.
Employment is covered by the Legal Services Award 2020.
Based in the Launceston CBD, as a Receptionist/Office Administration Assistant you will be working as part of a small and close-knit team. When you commence the role you will be providing a high level of support to the firm in performing duties including but not limited to the following:
reception duties by telephone and in person including assisting clients, solicitors and staff from other firms and businesses and making records of conversations;
file management using LEAP software including opening and closing files, scheduling re-submit dates, updating files and cross-checking information/documents received against information/documents requested;
diary management including making and confirming client appointments and other events;
processing, receipting and banking funds received by EFTPOS, cash, cheque or direct deposit;
debt recovery including issuing reminder notices, letters and overdue fee invoices and seeking payment by telephone calls to clients; and
general office tasks including photocopying, filing, sending and collecting postal mail, printing emails, scanning and saving documents received, collection and distribution of files within office, closing and preparing files for archive, deliveries, banking and maintaining stationery and office supplies.
As you become settled in the role, duties may extend to also include:
processing creditor payments;
preparing bank reconciliations and use of Xero accounting software;
preparing dictated and non-dictated letters, notes and documents;
issuing itemised tax invoices and disbursement invoices to clients; and
other office administration tasks.
Required skills:
strong customer service skills, including a confident and friendly phone manner;
outstanding verbal and written communication skills;
adaptability, initiative and the ability to think ahead;
ability to work well under pressure, balancing competing demands and interruptions;
strong knowledge of Microsoft Office Suite;
the ability to work autonomously and have a enthusiastic and proactive nature.
Experience in working in an office environment and/or with LEAP Legal Software is highly advantageous but not essential.
Commencing salary range is expected to be approximately $54,000.00 to $56,500.00 per annum (adult wage – if the successful candidate is under the age of 21 years, this will be reduced), depending upon the successful applicant’s prior experience and skills.
