About the Role
· We’re a busy and friendly private psychology practice based at North Lakes, and we’re on the lookout for an experienced and reliable Receptionist/Administrator to join our valued admin team. This role has become available due to the upcoming retirement of our much-loved current administrator.
· This is a job-share role working Thursdays and Fridays (flexible on 3rd day), with the expectation of being available to cover full-time hours during staff annual leave and occasional sick days throughout the year.
· You'll be the face of our practice on the front desk, supporting a team of allied health clinicians.
· Accuracy is absolutely essential in this role – we’re looking for someone who prides themselves on getting the details right, every time.
· We’re after someone who thrives in a fast-paced environment, has a calm and professional manner, and enjoys being part of a small, supportive team.
Please note: This is not an entry-level position. We are only considering applicants with previous administration and/or reception experience. Applications without relevant experience will not be shortlisted.
Key Responsibilities
· Welcoming clients and managing a busy front desk
· Diary coordination for multiple clinicians
· Using our practice management software (Zanda)
· General admin duties – emails, referrals, faxes, letters
· Liaising with GPs, medical clinics, and insurers
· New client intake and admin setup
· Ensuring all systems and processes follow internal procedures
· Supporting the Business Manager to maintain best practice
· Maintaining a clean, tidy and welcoming waiting area
· Upholding the highest level of client confidentiality
· Being a flexible, team-focused contributor at all times
What We’re Looking For
· Proven ability to multitask in a fast-paced admin role
· Exceptional attention to detail – accuracy is a must
· Excellent phone manner and communication skills
· Strong organisational and time management skills
· Confident with Microsoft Office (Outlook, Word, etc.)
· Typing speed of 50+ wpm
· Minimum 2 years’ experience in reception/administration
· Prior experience in a medical or allied health setting (highly regarded)
· Cert III/IV in Business, Medical Reception, or Administration (desirable)
· Availability to work full-time during leave periods and to cover occasional sick days
