You'll be the first point of contact for visitors and clients. The role involves managing calls, emails, and meetings, supporting daily admin tasks, handling inboxes and portals, and assisting with compliance checks and team-wide coordination.

We are looking for a professional, proactive, and well-organised Receptionist/Administrative Assistant to join our client's organisation. This role is key to ensuring the smooth running of daily operations while providing a warm and efficient front-of-house experience. You will be the first point of contact for clients and visitors, while also offering broad administrative support across the office.

Key Responsibilities:

  • Greet and assist clients, visitors, and guests in a friendly and professional manner
  • Answer and direct internal and external telephone calls to the appropriate team members
  • Maintain a clean, organised, and professional reception and meeting room area
  • Manage incoming emails and telephone enquiries promptly and efficiently
  • Provide administrative support to the wider office, including assistance with internal and external events
  • Perform general office duties such as scanning, photocopying, printing, filing, and mail distribution
  • Set up and activate Zoom and Microsoft Teams meetings
  • Monitor shared inboxes and respond to client service enquiries, including sending statements and portfolio information
  • Process access requests and manage the research and client portals
  • Add new clients to the portal and provide clear setup instructions via email
  • Assist with quarterly compliance tasks
  • Carry out other duties as reasonably required by the team

Skills & Requirements:

  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Highly organised, with the ability to multitask and manage priorities
  • Proficient in Microsoft Office and virtual meeting tools (Zoom, Teams)
  • Strong attention to detail, accuracy, and discretion
  • A proactive, can-do attitude and willingness to support different teams
