About You The Operational Support Officer plays a pivotal role in providing high-quality executive and administrative support to the Head of Department and their leadership team. Acting as an operational generalist, the role is responsible for managing day-to-day activities such as complex diary and calendar management, coordinating workflow, preparing and drafting correspondence, attending senior-level meetings, taking minutes, and undertaking research to support informed decision-making. The role also leads the coordination of assigned projects in collaboration with the executive, which includes managing stakeholders, conducting analysis, following up on actions, and ensuring projects are delivered within agreed timelines and expectations. In addition, the Operational Support Officer supports media and speaking engagements, prepares high-level presentations and briefing materials, and facilitates timely communication between the executive and internal or external stakeholders. Travel and accommodation arrangements, expense management, and general administration also form part of the role’s responsibilities. With a strong focus on continuous improvement and operational efficiency, the role contributes to enhancing executive effectiveness and ensuring alignment with SSI’s broader organisational goals and values. This position requires strong organisational skills, a proactive mindset, and the ability to work collaboratively across diverse teams in a dynamic and fast-paced environment. Essential Criteria
- Degree or diploma in business administration or related discipline.
- Minimum 5 years' experience in a personal or executive assistant role or operations support working directly with senior managers.
- Excellent time management and organisational skills
- Demonstrated ability to manage up
- Project management experience, including analysis, research, and stakeholder engagement through to project completion
- Excellent verbal communication and highly developed interpersonal skills and diplomacy
- High-level customer service and attention to detail.
- High-level written communication skills
- Experience working with systems and technology
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
Desirable Experience:
- Experience with project maintenance/management; exposure to the Permanency Support and funding
