Your Opportunity

As Executive Assistant, you will provide executive level administrative support to the General Manager, demonstrating a high degree of judgement, initiative, confidentiality and sensitivity. To be successful in this role you will need to have extensive experience in providing an executive level of support. You will need exceptional written communication skills with highly developed interpersonal skills.

Term: Full-time - till 2 January 2026

Hours of Work: 72.5 hours per fortnight

Pay Level: $2806.57 to $2996.06 per fortnight (Level 3), plus 12% superannuation and 17.5% annual leave loading

In accordance with Council's Enterprise Agreement and the relevant Award. Pay rate dependant on relevant skills and experience.

Employment Base: Warwick, Queensland

About the Directorate

The Corporate Services Directorate is made up of three departments including Governance, Financial Services and Information Communication Technology (ICT).

The Governance Department is accountable for ensuring that Council operates in a transparent, accountable, and effective manner, in line with legal, ethical, and regulatory requirements. Land title registration for properties within the local government's jurisdiction, verifying land ownership ensuring leases are properly documented and compliant with local laws and ensuring that the land registry system is up to date and accessible to various stakeholders. Governance is also responsible for the management of the social housing portfolio.

The Financial Services Department ensures that Council remains financially sustainable while embracing innovation to drive outcomes for the Southern Downs community in an efficient and effective manner. The Department is responsible for the delivery of a variety of functions, including contracts and procurement, finance, revenue and business development.

The ICT Department delivers the ICT strategy for Council, including managing the technology infrastructure that supports day-to-day operations of Council, facilitating communication, enhancing service delivery, ensuring cybersecurity and data protection, and driving innovation and digital transformation. This department plays a key role in improving efficiency, transparency, and the quality of services provided to the community. The department is also responsible for overseeing the proper handling, organisation, storage, retention, and disposal of records.

  • Providing executive level secretarial and administrative support of a complex nature to the General Manager exercising high level judgement, initiative, sensitivity and confidentiality in the performance of duties;
  • Plan and coordinate activities, projects and functions in the area and ensuring the General Manager receives adequate professional support;
  • Assist the General Manager and other Council employees in the resolution of matters for which there are no clearly established practices or procedures;
  • Answer and screen telephone calls to the General Manager as well as assist in answering telephone calls to the Directorate;
  • Manage own time and set priorities to ensure performance outcomes and deadlines are achieved;
  • Prepare reports for agenda items for Council consideration and take minutes of relevant meetings including the relevant Advisory Committees;

What You Will Need

To be considered for this role, you will need:

  • The legal right to live and work in Australia
  • A Class C (car) licence or greater is required in this role
  • Extensive experience in an executive support function
  • Highly developed written communication skills with proven ability to build effective working relationships both internally and externally and ability to produce reports and correspondence
  • High level keyboard skills and experience in current office computer software programs
  • Proven ability to provide excellent customer service
  • Demonstrated ability to plan and organise workload to meet outcomes within required timeframes
  • To be able to demonstrate your competence in relation to all of the Selection Criteria as detailed in the Position Description.
