At Tradie Support Services, our whole purpose is simple: help tradies and small businesses stress less, run smoother, and make more profit. We free up their time so they can focus on what really matters, whether that’s kicking back with the family, chasing hobbies, or just not thinking about admin at 10pm.

We’re on the lookout for dedicated, down-to-earth people who want to be part of that mission. We’re not asking for a 10-page resume or a fancy title, but we do need someone with solid admin/reception experience who knows their stuff. A bit about you:

You’re cool under pressure and can keep things moving, even when there’s a lot happening at once.

You actually care about customer service (not just the “smile and nod” type).

You’ve got some reception/admin experience and know your way around processes (or at least love a good checklist).

You’re an all-rounder — happy to pitch in wherever needed and keep things running smoothly.

Client Coordinator & Administration Legend

We’re looking for an Admin Rockstar / Client-Whisperer / Organizational Ninja (official title: Client Coordinator & Administration Legend) to keep the wheels turning smoothly behind the scenes.

Your mission (should you choose to accept it): make the day-to-day admin, reception and job scheduling look effortless - even when it isn’t.

What you’ll actually be doing:

Answering calls – aka being the friendly voice that makes people forget they were on hold.

Scheduling jobs – playing Tetris with calendars and somehow making it all fit.

Project Management (the big stuff) – supporting our electricians on large construction jobs: keeping timelines, suppliers, clients, and tradies all on the same page and a step ahead of them to keep everyone organized

Inbox bossing – keeping emails under control so the Director doesn’t drown in unread messages.

Director’s right-hand human – Personal Assistant & Administration Support (translation: helping them look way more organized than they actually are).

Client TLC – building & keeping great relationships, because we’re not robots (yet).

Reception magic – answering incoming calls, making outgoing ones, and keeping things sounding professional… even when you’re on your third coffee.

Job management wizardry – processing purchase orders, scheduling jobs, chasing quotes & invoices, and ticking off checklists like the admin superhero you are.

Skills Required

5+ years of office administration and/or reception experience

Must have experience in trade industry, projects & terminology

A supportive and positive attitude and BRILLIANT phone manner

Data Entry with high attention to detail (a MUST) & the ability to Multi-Task

Knowledge of Microsoft 365, Outlook, Teams, ServiceM8 (or other job management software)

High-level customer service

Ability to pick up new computer systems and software

Enthusiastic, Flexible and not afraid to get your hands dirty or learn new skills with a varied workload

Take pride in your work and understand the importance of working to a high standard to support our clients

BONUS POINTS IF YOU HAVE;

Previous experience as a PA / Admin Support to a Tradie!

Knowledge of ServiceM8, SimPro or other Job Management Software

Experience in Job Scheduling or diary management

Knowledge of writing Business Systems and Procedures

Bookkeeping or Accounts experience (Xero preferred)
