The Australian Diabetes Educators Association (ADEA) is the peak professional body for Credentialled Diabetes Educators (CDEs) in Australia. We are committed to advancing best practice in diabetes education and care through advocacy, professional development, and strong member support.
We are in an exciting period of renewal and are looking for a capable and values-aligned Office Manger to join our small, purpose-driven team.
About the role
Reporting directly to the CEO, the Office Manager ensures our operational foundations are strong, future-ready, and aligned with our mission. This mid-level role is perfect for someone who thrives in a dynamic environment and is ready to take ownership of systems and processes across finance, HR, IT, and compliance.
While ADEA outsources our finance and IT functions, the Office Manager is the internal lead for coordination, performance monitoring, and continuous improvement. You will also oversee internal HR practices, quality management, and organisational compliance.
This is a newly created role with scope to grow and shape systems that make a real difference across our team and the wider profession.
Key responsibilities
Manage relationships with outsourced finance and IT providers, monitoring service delivery against agreed outcomes.
Support internal HR processes including onboarding, contracts and records management, and policy implementation.
Monitor and maintain compliance registers, insurance renewals, and risk management processes.
Oversee the Quality Management System (QMS), supporting ISO-aligned processes and continuous improvement initiatives
Ensure effective document management and organisational record-keeping
Work with the Bookkeeper and accounting teams to ensure monthly reports are prepared on time, and the completion of the annual financial audit
Support the Executive Team to ensure operational effectiveness
What we’re looking for
We’re seeking someone with a hands-on, solutions-focused approach and experience managing operations in a similar-sized organisation. Ideally, you bring:
Essential
Demonstrated experience in business operations, finance, or compliance
Strong understanding of financial and HR coordination (SCHADS Award knowledge desirable)
Confidence working with external service providers and managing performance
Excellent communication, attention to detail, and organisational skills
A collaborative, can-do attitude and comfort working in a small team
Desirable
Familiarity with, Xero, Microsoft 365, ELMO, or similar platforms
Experience with QMS or ISO-aligned quality frameworks
Prior experience in the health, membership, or not-for-profit sector
Tertiary professional qualifications
Highly Desirable
Tertiary professional qualifications
Experience in the not-for-profit, member-based organisation, association, peak body or health sector
Understanding of a membership organisation and member services and support
