Our Branch currently has a number of vacancies (actual and potential) to fill at the ASD 4, 5, and 6 level.

The responsibilities and duties of the current actual and potential vacancies will vary depending on the selected role and level. They may include:

National Accommodation Management

- ASD4 Accommodation Support Officer – Canberra

  • Accountable for organising their workflow, making decisions within their defined parameters relating to area of responsibility and will seek guidance when required.
  • Engage with customers and stakeholders to achieve positive outcomes for the team.
  • Interpret and comply with business processes and legislative, policy and regulatory frameworks.
  • Undertake inbox management and data entry tasks.

- ASD5 Accommodation Support Officer – Canberra

  • Accountable under routine direction to perform and achieve moderately complex facilities tasks within an integrated workforce.
  • Making independent decisions relating to their area of responsibility.
  • Engage with customers and stakeholders to achieve positive outcomes for the team.
  • Identify and contribute to business process improvement activities.
  • Interpret and comply with business processes and legislative, policy and regulatory frameworks.
  • Undertake inbox management and data entry tasks.

- ASD6 Accommodation Officer – Canberra

  • Lead the research, development, drafting and review of comprehensive property policies, procedures, manuals and templates.
  • Ensure all policies are clear, concise, consistent and compliant with relevant legislation, regulations and government best practice.
  • Provide executives with strategies to deliver suitable accommodation fit outs, which maximise the use of their current space allocation, offer solutions to evolving and complex accommodation pressures.
  • Lead/support the research, development and drafting of meeting papers and business cases for decision based forums to enable and support senior executive decision making.
  • Establish and maintain a strong property governance framework, defining roles, responsibilities and decision-making processes for property related activities.

Facilities Services

- ASD4 Facilities Support Officer – Canberra

  • On-site quality support of deliverables and services, ensuring facilities are supported in accordance to the agreements and all security requirements are being met.
  • Liaise with stakeholders on a regular basis to ensure service delivery is aligned with obligations and expectations.
  • Work collaboratively with contractors, project staff and stakeholders.
  • Provide escorting on sites when required.
  • Undertake inbox management and data entry tasks.

- ASD5 Facilities Support Officer – Edinburgh SA, Brisbane, Melbourne, Canberra

  • On-site quality management of deliverables and services, ensuring facilities are being managed in accordance to the agreements and all security requirements are being met.
  • Liaise with stakeholders on a regular basis to ensure service delivery is aligned with obligations and expectations.

- ASD6 Facilities Officer – Melbourne, Edinburgh SA, Canberra

  • Manage, or contribute to the day-to-day running of a site or group of sites within a region or community precinct.
  • Engage with customers and stakeholders to achieve positive outcomes for your team.
  • Contribute to knowledge sharing and the positive growth and development of your fellow team members.

Estate Works Program

- ASD6 Project Support Officer – Canberra, Brisbane, or Melbourne

  • Contribute to, and assist with accommodation projects including planning, design and construction.
  • Demonstrate an understanding of the estate planning and development process.
  • Support the relocation of ASD officers affected by projects.
  • Project management support of facility projects, the majority of which are office fit outs.
  • Work collaboratively with contractors, project staff, and stakeholders.

Major Projects

- ASD6 Major Projects Officer– Canberra

  • Contribute to, and assist with major projects including planning, design and construction.
  • Demonstrate an understanding of the government estate planning and development process.
  • Project management support of major projects.
  • Work collaboratively with internal and external stakeholders.

Strategy & Governance

- ASD4 Parking and Property Administration– Canberra

  • Engage with customers and stakeholders to achieve positive outcomes for the team.
  • Manage parking allocations.
  • Auditing and updating parking registers to ensure it is up to date.
  • Undertake inbox management and data entry tasks.

- ASD5 Governance Officer – Canberra

  • Accountable under routine direction to perform and achieve moderately complex facilities tasks within an integrated workforce.
  • Making independent decisions relating to their area of responsibility.
  • Engage with customers and stakeholders to achieve positive outcomes for the team.
  • Identify and contribute to business process improvement activities.

- ASD6 Accommodation Data Manager - Canberra

  • Manage and govern large, sensitive and high value accommodation data sets.
  • Manage the planning, acquisition, storing, organising, destroying, and archiving of all data.
  • Maintain and improve processes to support data quality, and resolve data issues.
  • Drive informed organisational improvements in accommodation data management, and support data across the data lifecycle.
  • Collaborate with other data professionals and stakeholders to identify process improvements, recommended system modifications, and apply data governance and data quality frameworks.

About our Team

The Business Continuity & Facilities Branch strives to provide ASD with fit-for-purpose infrastructure, facilities services, business continuity, and emergency management solutions. Our goal is to support ASD’s mission by contributing to the continuous improvement of the organisation’s estate, assets and work environment. Our key responsibilities include estate planning, accommodation management, business continuity, emergency management, and facilities services.

The successful candidates will take an equally active role in both project work and business as usual activities and help pave the way for ASD’s future facilities landscape.

You will work in multi-disciplinary teams to deliver objectives related to:

National Accommodation Management

We play a vital role in ensuring that ASD has equitable access to accommodation to enable the expansion of capabilities and therefore resilience across the nation. A key part of this work involves building and updating our understanding of ASD’s strategic agenda, changes in our operating environment and the unique needs of the workforce. With careful and considered planning, we draw on these insights to manage real estate, accommodation requests, movements of different teams and facility asset allocation.

Facilities Services

Our primary responsibility is maintaining ASD’s physical assets and facilities, enabling the workforce to conduct their work in an optimal setting. Our customers are at the heart of what we do. Whether it is creating a comfortable work environment, managing assets or providing critical risk management, we endeavour to ensure our colleagues have the infrastructure and tools to drive high performance and promote wellbeing.

Estate Works Program

As the Estate Works Projects team, we are responsible for accommodation initiatives un-related to the State Office and ASCOT Programmes. The projects we manage are designed to address the evolving needs of the organisation. Whether it is transforming a workspace or improving the security of our information Zones, we remain flexible and customer-centric throughout our work.

Major Projects

The Major Projects Programme comprises of two major streams of work – the principal component is designing and building a new multi-classification building. The second component is activities in support of the first stream – meeting urgent demand for temporary low side accommodation, as well as medium to long-term activities to consolidate staff and capability into fit-for-purpose areas.

Strategy & Governance

We lead the development and implementation of major strategies that support the provision of business continuity, facilities and accommodation services for ASD. We seek to understand and accommodate the evolving needs of the agency and manage governance within BCF. We pride ourselves on supporting the decision-making of leaders, as well as identifying tangible actions that will help ASD achieve its strategic agenda.
