About the role:
The Facilities and Fleet Coordinator is responsible for delivering high-quality facilities administration services, to the EPA Victoria's CBD office in Melbourne, as well as supporting workplace services and facilities operations. The position plays a key role in ensuring facilities administration services and front of house are delivered to a high standard and efficiently by collaborating with key stakeholders with a continuous process improvement as a focus to enhance service delivery and streamline operations. You will use your initiative to prioritise tasks and monitor workflow in supporting the delivery of office and fleet administration services while engaging with stakeholders to ensure efficient and effective service delivery.
In this role you will:
- Perform & coordinate administrative tasks and maintain records to support the daily operations of the Facilities function, including staff communications, work order management, contractor inductions and general administrative tasks as required.
- Support EPA Fleet operations with administrative tasks and stakeholder communications.
- Support and undertake tasks related to the collection and reporting of EPA's sustainability activities, contributing to the organisation's sustainability goals.
- Undertake daily workplace services tasks, including managing stationery and office supplies, workplace inspections and mailroom.
- Provide and coordinate corporate event management for internal events at head office.
- Manage the front of house services, ensuring efficient visitor management and serving as the primary point of contact.
- Manage and update security access systems, including corporate physical access and locker requirements, ensuring up-to-date records are continually maintained.
Skills and experience:
- A relevant qualification in facilities management, or related discipline is desirable.
- Experience in office management and general administration tasks, in providing front of house / site support services to a large office building/site.
- Administration or office management skills and demonstrated capability to plan, monitor and deliver office facilities and fleet services
- Knowledge in Finance system (Finance One or similar) is desirable
- Intermediate to advanced knowledge and demonstrated ability to use the Microsoft suite of business applications
