The University of South Australia Student Association (USASA) is a not-for-profit, student-owned organisation that delivers programs, services, and advocacy to enrich the student experience. This role is part of the USASA team for 2025, and employment will transition to Adelaide University Student Association (AUSA) when the new association is established.

BROAD PURPOSE

The Student Experience Events Officer is key in shaping vibrant student life by delivering events that build community, enhance wellbeing, and create a strong sense of belonging across campuses.

In 2025, the role will focus on supporting and delivering the USASA calendar, including:

· Provide professional event delivery, focusing on budget management, risk assessment, and compliance to ensure events are safe, inclusive, and financially responsible.

· Lead delivery of campus pop-up activations, student markets, and wellbeing events that unite students and strengthen community connections.

· Contribute to planning the first-ever Adelaide University Orientation and events calendar for 2026, ensuring a seamless transition of culture and tradition into the new Adelaide University Student Association (AUSA).

· Support the delivery of food insecurity initiatives and Pantry activations led by the Programs & Engagement Coordinator, ensuring smooth integration into the broader student experience calendar.

· Coordinate volunteer-supported events and play a central role in end-of-UniSA/USASA commemorative activities.

KEY RESPONSIBILITIES

Event Delivery & Operations

· Plan, coordinate, and deliver a diverse calendar of student engagement events (pop-ups, wellbeing activities, markets, commemorative celebrations).

· Manage operational event requirements, including site planning, infrastructure, catering, entertainment, and run sheets.

· Prepare risk assessments, WHS documentation, and emergency procedures to ensure safe and compliant delivery.

· Coordinate budgets, invoices, and contractor payments.

· Act as site manager during bump-in, live event, and bump-out.

Student Engagement & Experience

· Create inclusive and engaging student experiences that reflect student diversity and needs.

· Collaborate with clubs, volunteers, and other student groups to strengthen student ownership of events.

· Support food security initiatives, including Food Pantry activations

Volunteer Coordination (with support from Programs & Engagement Coordinator)

· Identify volunteer event requirements and liaise with the Programs & Engagement Coordinator to ensure appropriate recruitment, training, and allocation.

· Supervise and support volunteers during events to ensure effective delivery and positive experiences.

Collaboration & Transition

· Work with colleagues across both universities to ensure alignment and consistency in event delivery.

· Contribute to successfully transitioning events programming into AUSA, maintaining student continuity.

Administration & Reporting

· Maintain accurate records, event evaluations, and contribute to reporting for quarterly and annual reviews.

· Provide feedback on volunteer needs and event delivery to the Manager Student Experience.

· Provide robust event reports and insights to support continuous improvement of event delivery. Conduct regular stocktakes and maintain organisation of the office and storage rooms to ensure resources are well-managed and accessible.

SELECTION CRITERIA

Essential:

· Minimum 1-year proven experience in event delivery (community, not-for-profit, or higher education preferred).

· Strong organisational skills with the ability to manage multiple projects simultaneously.

· Knowledge of budget management, risk assessment, and WHS compliance in events.

· Excellent communication and stakeholder management skills.

· Ability to work flexible hours during peak event periods, including evenings and weekends.

· Demonstrated ability to work both independently and collaboratively in a team.

Desirable:

· Responsible Service of Alcohol (RSA).

· First Aid Certificate.

· Working with Children Check (or ability to obtain).

· Class C Driver’s Licence.

· Experience working with students or young people.

SPECIAL CONDITIONS

· Out of hours work required during peak event periods (TOIL arrangements apply).

· Travel between metropolitan campuses required.

· Employment contract will transition from USASA to AUSA in late 2025, subject to performance and organisational requirements.

· The duties of this role may evolve during the transition to AUSA as the structure of the new association is finalised.
