POSITION DESCRIPTION
Job Title: Accounts Officer
Description: Part Time (0.6 FTE)
Reports To: General Manager - Finance & Governance
Supported By: Executive Leadership Team
Date Prepared / Revised: 13 August 2025
Location: Primarily based in the Hunter Head Office, Broadmeadow, noting some visitation from time to time to the other RAS Ltd offices.
Position Purpose
The Accounts Officer plays a key role in managing the day-to-day financial operations of the organisation, with a strong focus on bookkeeping, compliance, reporting, and internal financial management. Reporting to the General Manager – Finance & Governance, this hands-on position ensures the timely and accurate processing of financial transactions, maintains robust financial systems, and supports budget tracking and audit readiness in alignment with the mission and values of RAS Ltd.
Key Responsibilities
Bookkeeping & Transaction Processing
Oversee and process accounts payable and receivable, payroll, and bank reconciliations
Maintain and reconcile the general ledger and subsidiary ledgers
Prepare and lodge BAS, PAYG, and superannuation obligations accurately and on time
Manage petty cash, credit card reconciliations, and staff expense claims
Ensure timely and accurate data entry into Xero accounting software
Financial Reporting & Compliance
Prepare monthly financial reports, including profit & loss, balance sheet, and cash flow statements
Monitor budget-to-actual variances and flag issues or risks to the General Manager – Finance & Governance.
Support year-end processes including the preparation of audit files, financial statements, and liaison with external auditors
Ensure compliance with ATO and funding body requirements
Budgeting & Financial Support
Assist with the preparation and monitoring of annual and project-specific budgets
Provide financial information to program managers to support project tracking and planning
Prepare financial reports for management, the board, and external stakeholders as required
Systems, Processes & Controls
Maintain and improve finance systems and procedures to ensure transparency and efficiency
Implement internal controls to safeguard assets and ensure compliance with policy
Maintain up-to-date knowledge of changes to relevant legislation, accounting standards, and reporting obligations
Team Support & Collaboration
Support and guide finance and administration staff
Contribute to a positive and collaborative workplace culture aligned with RAS Ltd values
Work closely with other departments to ensure financial accuracy across all areas of the organisation
Reporting Relationships
This position reports directly to the General Manager – Finance & Governance, and is required to work in a close and collaborative manner with other finance and administrative staff the with additional support from the Executive Leadership Team (ELT).
The Accounts Officer will be required to work with many volunteers aligned to sport programs (e.g. coaches, assistant coaches, and squad managers) across the organisation’s sporting programs.
Expectations / Qualifications / Experience
· Strong interest in sport.
· Formal qualifications in Accounting, Finance, or Bookkeeping
· 2 years’ experience in a similar role
· Experience in a NFP finance role desirable
· Proven experience with end-to-end bookkeeping and accounting processes
· Strong working knowledge of Xero
· Internet proficiency with excellent MS Word, Excel, and Outlook skills.
· Well-developed written and verbal communication skills.
· Effective time management and forward planning skills.
· High attention to detail and ability to maintain high standards of RAS Ltd.
· Possess an understanding of the unique environment of sport, including working alongside volunteers, and contribute thoughtful ideas and fresh approaches to financial management
· A strong desire to keep pushing the boundaries, innovating, and driving development
· An awareness of the essential need to be a ‘Child Safe’ sporting organisation.
· An excellent and timely communicator, able to self-manage effectively to complete tasks on time to a high standard and work effectively under pressure.
· Highly driven to continually drive standards of yourself and those around you.
Remuneration / Entitlements
A Total Remuneration Package (TRP) will be agreed with the COO, the TRP equals a Base Salary, plus 12% Super. In addition to the TRP a supplementary benefits package will be contained within the Employee Terms and Conditions Agreement supplied separately to this document. The employment agreement and inclusions MUST remain confidential between the employee and employer.

· The Accounts Officer must have a valid Working With Children Check prior to being appointed.
· The Accounts Officer agrees to follow the organisations Child Safety Standards.
· The Accounts Officer will be subject to an initial 6-month probationary period.
