As the Administration and Operations Coordinator, you will provide comprehensive administrative and operational coordination to support the Industry Medical Services (IMS) team in delivering high-quality medical services. This role is responsible for managing daily administrative workflows, internal communications, payroll , documentation, and supply coordination to ensure operational efficiency, compliance, and continuous improvement within a dynamic healthcare environment. This is a permanent full-term role working 37.5 hours per week Monday through Friday based in Belmont working across varied and interesting work.
What you’ll do:
- Coordinate and oversee day-to-day administrative functions to support the delivery of IMS services, ensuring compliance with internal policies and procedures.
- Manage all IMS communication channels, including monitoring the IMS inbox and responding to or escalating queries in a timely and professional manner.
- Verify and track payroll-related activities for IMS staff, including checking off completed work, processing pay increases, and liaising with Payroll to ensure accuracy.
- Ensure continuity of administrative operations by identifying risks, implementing improvements, and maintaining high service standards with minimal supervision.
- Collaborate with internal departments to streamline workflows and improve operational efficiency within IMS.
- Assist with rostering, mobilisation, recruitment, payroll, invoicing as required.
- Maintain consistent engagement with the IMS client pool to track progress, gather feedback, and support continuous improvement
- Track and analyse operational data and metrics to support data-driven decision-making and contribute to service improvements.
- Work with the Payroll department to develop and establish future automation in payroll functions including establishing automation of timesheet and invoice generation.
- Maintain and update internal documentation, ensuring accessibility, version control, and alignment with compliance standards.
- Manage accurate and timely invoice generation and delivery of invoices to the contract terms. Execute and take responsibility for all internal salary increases and obligations as well as the timely management of contracted obligations.
- Assist in the preparation and distribution of reports, internal communications, and operational updates.
What you’ll need:
- Minimum 2 years’ experience in a similar administrative, operational coordination, or business support role.
- Demonstrated ability to contribute to operational planning, workflow improvement, and project support
- Background in corporate, finance , health, community or commercial based sectors.
- Knowledge of systems, tools and process within the ambit of this position
- Excellent problem solving and organisational skills.
- High attention to detail with strong financial acumen
- Excellent communication skills both written and verbal
- Intermediate to advance knowledge of Microsoft Office Suite.
