The Opportunity:

The Australian Orthopaedic Association (AOA) is seeking an Emerging & Early Fellow Services Officer to join our Member Service & Experience team. This role provides exceptional administrative support for AOA’s Accredited Fellowship programs, which provide training for early career orthopaedic surgeons in specialist areas of orthopaedic surgery.

The Emerging and Early Fellow Services Officer also has a key role in supporting the delivery of initiatives and programs that engage and support medical students, junior doctors, orthopaedic trainees, and early-career Fellows , fostering their professional development and connection to the orthopaedic community.

The Emerging & Early Fellow Services team works within AOA's Member Services and Experience portfolio.
The successful applicant will report to the Emerging & Early Fellow Services Manager, and will work closely with a Senior Officer and those in two other Officer roles.

The role is based in the CBD of Sydney. Hybrid working arrangements are available; it is expected that the applicant will work in the office 3 days/week.

Key Responsibilities:

For the administration of Fellowships Programs, a range of administrative and coordination processes are involved, including:

1. Assisting Specialist International Medical Graduates (SIMG’s) with completing and submitting the relevant applications to relevant bodies in order to be able to work in Australia.

2. Liaising with and undertaking the administration required by relevant regulatory bodies including AHPRA, DHA and RACS to ensure overseas trained doctors are eligible to work and be registered in Australia.

3. Liaising with overseas medical graduates, AOA Member Supervising Surgeons, Industry and other key stakeholders as required to effectively address their needs in a proactive manner.

4. Collaborating with team to work towards all AOA fellowship placements being filled in a timely manner.

5. Supporting the monitoring and recording of AOA Accredited Fellowship Programs, their progression, outcomes and compliance with accreditation and reaccreditation requirements.

6. Administering the Fellowship database and maintaining all relevant records.

7. Supporting the administration of the Fellowship accreditation and reaccreditation process.

8. Provision of metrics data and information as required.

9. Drafting documents and correspondence as required.

10. Administering Fellowships processes and projects as directed.

11. Supporting the preparation for Fellowship Committee meetings as requested.

12. Supporting the preparation for AOA/NSA PFET Committee meetings as requested.

13. Administering the AOA/NSA PFET program as requested.

The work in other areas of the Emerging & Early Fellow Services portfolio involves:

1. Assisting with administrative support for activities for exposure and skills workshops for specific segments,
e.g. female, Aboriginal and Torres Strait Islander participants, those rural and remote – as determined as priority in accordance with the AOA strategic plan.

2. Assisting and supporting the planning and delivery of the Emerging Leaders Forum and other early career fellow professional development activities.

3. Supporting the undergraduate campaigns and activities – e.g. OWL workshops and other specific segment activities as planned.

4. Contributing to and supporting Asia-Pacific and Global Fellowship initiatives as required.

an understanding of and previous experience in database administration and management

Desirable Experience and Qualifications may include:

Experience with AHPRA and DHA documentation and policies

Previous administration experience in a membership-based or tertiary education organisation

Experience working with committees

A background and/or qualifications in medical, health and/or education would be an advantage.
