The Sanctuary Lakes Golf Club is looking for an experienced and enthusiastic Accounts Payable Assistant to join our team.
Position Summary
The Accounts Payable Assistant is responsible for processing supplier invoices in a timely, accurate, and compliant manner. This role supports the financial operations of the club, ensuring the smooth processing of payments, maintaining financial records, and upholding regulatory obligations. The ideal candidate is detail-oriented, reliable, and able to work independently.
Key Responsibilities
Accounts Payable
Process and enter invoices into the accounting system (MYOB & SwiftPOS)
Match invoices to purchase orders and delivery dockets where applicable
Prepare weekly/monthly payment runs and remittance advices
Reconcile supplier statements and resolve discrepancies
Maintain accurate and up-to-date accounts payable ledgers
General Administration and Finance Support
Assist with month-end reconciliations and preparation of financial reports, ensuring accuracy and timely submission.
Respond promptly and professionally to supplier enquiries and ensure timely processing of invoices and payments.
Perform weekly banking duties, including the preparation and reconciliation of bank deposits, EFTPOS settlements, and cash handling in accordance with internal controls and banking procedures.
Maintain organised and compliant filing systems—both electronic and hard copy—aligned with audit standards and regulatory requirements.
Provide broad administrative and financial support to the Club Operations Manager as needed, including data entry, membership account queries, and general clerical tasks.
Key Skills and Attributes
Proven experience in accounts payable (MYOB, Xero, or similar)
Strong understanding of payroll legislation, superannuation, and STP
High level of accuracy and attention to detail
Good communication and interpersonal skills
Ability to work autonomously and meet deadlines
Confidentiality and integrity in handling sensitive information
Desirable Qualifications and Experience
Certificate IV or Diploma in Accounting, Bookkeeping or similar (preferred)
Experience in a hospitality, club, or membership-based environment (preferred)
Familiarity with Time & Attendance systems (e.g. Deputy, Tanda) is a plus
Work Environment and Hours
Part-time hours, flexible across weekdays (to be agreed upon)
Office-based role within a friendly and collaborative club environment
