About The Role
Our client is seeking a smart, proactive Executive Officer to provide high-level, confidential secretarial and administrative support to the Deputy Provost and Director, Pathways.
This is a fantastic 6-month temporary opportunity for a dynamic EA ready to take the next step in their career. The ideal candidate thrives in a fast-paced environment, is a master at triaging emails, and brings a strategic, solutions-focused mindset to every task. Experience in taking minutes is essential, and familiarity with tools like Pilot and Transcribe to work smarter not harder, is a big plus.
Key Responsibilities
- Provide high-level, confidential secretarial and administrative support to the Deputy Provost and the Director, Pathways.
- Coordinate meetings, conferences, and events relevant to the portfolio, including preparation of agendas, minutes, and supporting documentation.
- Manage complex calendars and monitor email correspondence for both senior staff, ensuring effective workflow and prioritisation.
- Draft, edit, and send correspondence and communications on behalf of the Deputy Provost and Director.
- Liaise with internal and external stakeholders on behalf of senior staff, managing logistics and ensuring timely follow-up on action items
Essential Criteria:
- Demonstrated experience providing high-level administrative support to senior executives in a complex organisation, preferably within the higher education sector.
- Ability to work effectively in a fast-paced environment, learning new skills and processes, managing competing priorities, and adhering to due dates and narrow timelines.
- Highly developed communication and interpersonal skills to liaise, consult and negotiate with key stakeholders.
- Proven ability to operate effectively in a fast-paced environment, learn new systems and processes quickly, and manage multiple priorities under tight timeframes.
- Strong organisational skills with the ability to anticipate the needs of senior staff and ensure they are thoroughly prepared for meetings, decisions, and engagements.
- Highly developed written and verbal communication skills.
- Proficiency with digital collaboration tools, and the ability to quickly learn new systems, combined with strong attention to detail and discretion in managing confidential information.
