Our Service Administration clerk plays a key role in the success and reputation of HES Cranes. They are an important link between our customers, HES Cranes Products & Services, and our suppliers. They understand what is important to our customers and this generates positive outcomes by developing relationships built on trust and respect.
Work with a supportive team in this predominantly internal role. On the job training will be provided for this position which is well suited to someone who likes to be busy. An ability to quickly grasp an extensive product range and existing procedures is essential.
Key Duties & Responsibilities:
To provide administrative support to the service department
Open service orders for internal/external jobs
Collaborate with customers and the manager to ensure bookings suit all parties.
Cost & process daily labour hours & parts used from service technician timesheets/job cards received.
Receive incoming service department based incoming calls, assist, book & or refer our customers to the correct person, to best facilitate their enquiry.
Raise purchase orders for subcontractor purchases and input on to Job.
Process creditors paperwork/Issue invoices to customers once final approval received from Management
Preparing delivery documentation. I.e. – Service Reports, Test Certificates, Lifting Registers – Via Core Inspections Software.
Data Entry when required for CORE Inspections.
Provide administrative support to our Field Service Technicians & Service Manager
Assist service team to Manage & Monitor WIP levels.
General Administration work as required.
About you:
A background or previous experience in a similar role will be a distinct advantage.
Minimum 2 years' experience in service administration or similar coordination role
Have excellent organisational skills.
Works well in a team environment, where no 2 days are the same.
Excellent oral and written communication skills.
The ability to work autonomously as well as part of our Service team.
Be able to manage your time & prioritise competing tasks.
Proficient in Microsoft Office suite, particularly Excel for data entry and reporting
Must have Australian citizenship or permanent residency with full work rights
Experience with ERP systems and job management software is highly desirable
Previous experience in processing accounts payable/receivable and purchase orders
