Our vision at Whitsunday Counselling and Support Inc is to work towards the prevention and reduction of violence in the community by providing professional support services through education, empowerment, counselling and support. to women, children, young people and families who have experienced family violence, sexual assault or are at risk of neglect or abuse.

The Position:

The Manager Administrative Services is responsible for ensuring the effective and efficient management of all administrative, financial and operational aspects of the organisation’s service delivery and reports directly to the Management Committee.

The Manager Administrative Services will be responsible for managing the day-to-day administrative, financial and operational functions of the organisation and works closely with the Manager Counselling Services as part of a ‘Leadership Team’ aiming to continually develop and maintain a positive, healthy and productive work culture across the WCS organisation.

This is a high level, dynamic role that is pivotal to the successful running of this busy service’s operational needs. The role requires someone who is adaptable and able to oversee a range of business functions including; financial management and reporting, contract management, human resources operational support, property management, administration and governance.

Together with the Manager Counselling Services you will provide the communicative link between the Committee and all employees and work closely with the Management Committee to strategically drive the organisation forward to achieve the organisation’s mission and meet stakeholder expectations.

The role requires someone who has excellent management skills, is a good communicator and who is looking for an opportunity to work in for a growing, community-based not-for profit.

Role and responsibilities include (but not limited to):

Financial Management & Reporting:

Proficient and experienced in using Xero Accounting Software

Budget development and review monthly to maintain budget targets.

Provide detailed financial and operational reports monthly and present to the Management Committee at the monthly meetings.

Liaise with Auditors, Stakeholders and Contract Managers and prepare and submit quarterly and annual financial reporting in accordance with service agreements for Department of Children, Youth Justice and Multicultural Affairs, the Department of Justice and Attorney-General and the Department of Housing & Public Works

Maintain tracking of all income and expenditure to provide detailed profit and loss for each funding contract for quarterly acquittal

Collaboratively with the Manage Counselling Services you will manage and maintain relevant Service Agreements with government departments, collate organisation financial statistics and distribute to relevant government departments as per Service Agreement and legislative requirements.

Jointly with the Manager Counselling Services, actively pursue and identify opportunities for business development and grant opportunities, community engagement and represent WCS Inc in key stakeholder meetings and relevant activities, to develop partnerships and collaboration with like-minded agencies, government and non-government agencies on issues in relations to service users and funded programs to ensure effective and improved service delivery within the community.

Control and responsibility for emergency relief provided to clients as per the funding agreements

Operations:

Manage WCS assets, resources, infrastructures and systems and adhere to WCS Business Plan and Strategic Operational Plan

Oversee maintenance on leased building properties including offices in Cannonvale and Bowen and temporary supported accommodation units and houses in the local area.

Human Resources:

Staff supervision & professional development for administrative employees, volunteers and Management Committee members

Remuneration

Performance reviews and management and disciplinary actions if required.

Provide leadership and support to administrative employees ensuring performance objectives across the organisation are achieved, via one-on-one management, mentoring, and designated unit meetings.

Administration:

Manage and be responsible for compliance and the ongoing review, revision and update of the organisational policies and procedures to meet the Human Services Quality Framework requirements for:

Human Resources

Workplace Health & Safety

Governance

You may be required at times to assist with the provision of administrative duties which may include reception, telephone, resource filing and general office duties if and when required.

Remuneration and allowances are based on qualifications and experience as per the Social & Community Services Employee classification in the Social Community Homecare & Disability Services Award. Wage range between $129,000 - $134,000 approximately plus superannuation and leave loading.

We also offer additional benefits including not for profit remote area salary sacrifice packaging, annual professional development allowance & employee assistance program, portable long service leave industry entitlement.

Partial reimbursement of relocation expenses may be considered to eligible applicants who currently reside outside the Whitsunday region.

The position is for 76 hours per fortnight full-time, from Monday to Friday plus any additional hours that are necessary to fulfil your duties or otherwise required by the organisation.

Applicants need to currently hold:

Tertiary qualifications in Accounting, Bookkeeping or Business Management is required.

Extensive experience in a Senior Finance and Operations Management role or similar is required.

Previous experience working for a non for-profit organisation would also be highly regarded.

Applicants must have the following (or able to obtain) before commencing employment with Whitsunday Counselling and Support Inc.

Blue Card (QLD clearance to work with children)

Current drivers’ licence is required

National Police Check
