About the Role
We’re looking for an experienced, emotionally intelligent leader to oversee our growing team and ensure the smooth and efficient running of our clinics. You’ll lead from the front – supporting both clinical teams and business operations, building strong systems, and fostering a values-led, people-first culture.
Reporting to the Clinic Director, you’ll be responsible for driving operational excellence, team performance, and clinician experience. This includes oversight of a large group of contractor allied health professionals, ensuring they feel connected, supported, and well-resourced to deliver exceptional care. You’ll also be backed by an experienced admin and accounts team and will have the autonomy to lead day-to-day operations with confidence and heart.
Key Responsibilities
Clinic Operations & Business Support
· Oversee daily clinic functions, manage schedules and resourcing, streamline workflows, and uphold high-quality, efficient service delivery across both locations
· Maintain smooth, safe, and compliant clinic operations (NDIS, Medicare, OHS, etc.)
· Lead and implement strategies for practice growth and innovation
· Monitor and refine clinic systems, tech tools (Power Diary/Zanda), and internal processes for ongoing improvement
· Oversee and maintain the Practice Manual and relevant policies and procedures
· Support reception and admin teams with escalations and ad hoc priorities
People Leadership & HR
· Inspire, motivate and lead with warmth and professionalism
· Manage all aspects of the employee and contractor lifecycle: recruitment, onboarding, agreements, check-ins, performance support, exit processes
· Partner with the Clinic Director to deliver strategic workforce planning, performance frameworks, and ongoing HR compliance
· Coordinate performance reviews, provide structured feedback, and address issues early and respectfully
· Oversee team training, internal development initiatives, and lead new staff induction programs
Clinician Experience & Culture (New)
· Act as the key point of support for our clinician team – checking in regularly, helping manage workloads, and fostering their long-term engagement
· Coordinate and schedule supervision (individual and group), peer mentoring, and reflective practice sessions
· Plan and manage the clinic’s professional development calendar – including CPD workshops, external training, and guest speaker events
· Champion a connected team culture by leading initiatives like monthly gatherings, social events, birthday celebrations, and informal get-togethers
· Actively contribute to wellbeing, retention, and morale through a human-first approach that values trust, autonomy, and recognition
Client Experience & Clinical Quality
· Uphold a warm, welcoming, patient-centred environment across both sites
· Respond to client feedback with professionalism and transparency, using it to drive improvements
· Lead clinical quality initiatives including documentation standards, audit cycles, and NDIS compliance
· Work alongside the Clinic Director to support and evolve clinical frameworks that enhance continuity of care
· Act as a mentor and support to both clinicians and admin staff to ensure high-quality service delivery
About You
You’re a confident, grounded, and people-focused leader who’s ready to step into a role that combines purpose, responsibility, and genuine human connection. You know how to get things done — but you care just as much about how you do it.
You’ll bring:
· Proven experience in team leadership (20+), preferably in a health, NDIS, or allied health setting
· Exceptional skills in HR, operations, scheduling, and people management
· Strong working knowledge of compliance, accreditation, and sector requirements
· A natural ability to build rapport, earn trust, and communicate clearly and kindly
· Strategic thinking, strong initiative, and great follow-through
· An enthusiasm for creating positive workplace culture and a values-driven team
· The ability to work both autonomously and collaboratively within a multidisciplinary environment
Bonus Points For
· Previous experience supporting allied health clinicians
· Experience coordinating professional development or team-based events
· Familiarity with tools such as Power Diary, Zanda, or similar systems
· Interest in mental health, wellbeing, and creating impact-driven environments
