Provide an efficient and effective correspondence and records management service including the receiving/opening, processing and workflow of mail and correspondence, listing and destruction of records, and the creation, transfer and receipt of files.
Utilise DPC's electronic document and records management system Objective as a tool in the provision of records management services.
Assist with the incoming mail and correspondence process by analysing and providing preliminary allocation of incoming correspondence for action using Objective.
Analysis, management and quality control of the agency's correspondence workflow product, eDAS, to ensure the streamlined transfer of correspondence around the agency.
Undertake regular and adhoc reporting and monitoring of correspondence on behalf of the department.
First level contact for the department for queries relating to correspondence, workflows, file creation, document capture and records management, including liaison between the department and supported ministerial offices on correspondence.
Provide a friendly, efficient and effective customer focussed service to DPC staff and client agencies, including monitoring and actioning emails to the Correspondence Team and Records Management inboxes.
Ensure official records are managed in accordance with the Information Management Standard (State Records SA).
Responsible for the lodgement and retrieval of all files from State Records SA and off-site storage providers.
Participate in the archiving process of DPC files using relevant Disposal Schedules.
Undertake specific projects as directed by the Manager, Business Services.
Develop and maintain effective working relationships to support correspondence management processes among business units, the Chief Executive's Office and the Office of the Premier.
Continuous improvement of internal processes by identifying innovative opportunities for business improvement, including reviewing, updating existing, and/or development of new procedures.
Availability to work as part of a team roster to provide a high level of customer service during core business hours.
Special Conditions
The Incumbent will be required to participate in the department's Performance Management Program.
The Incumbent may be assigned to another position at this remuneration level or equivalent.
Some work outside of normal hours will be required.
This role requires a National Criminal History check.
All staff within the unit are required to be part of a roster working 8:00am to 5:00pm
