Right now, we have an opportunity for a special person join our growing team in the role of Client Services Administrator. This role is the first point of contact for clients and plays a pivotal role in ensuring the smooth operation of the office. This role combines reception duties, client services, general administration, and operational support to contribute to a professional, efficient, and welcoming environment for clients and staff alike.
Key Responsibilities:
Client Interaction & Reception:
Serve as the first point of contact for clients (in person and over the phone).
Handle calls, take messages, and ensure follow-up.
Greet clients professionally and manage incoming/outgoing mail and deliveries.
Office & Facilities Management:
Monitor office supplies (stationery, kitchen, etc.) and maintain cleanliness.
Set up meeting rooms, provide refreshments, and ensure post-meeting tidy up.
Administration & Finance Support:
Assist with credit card & petty cash reconciliations.
Disburse expenses to clients where applicable.
Process online client payments and issue receipts.
Assist with basic IT troubleshooting.
Client Database & Compliance:
Onboard new clients, prepare engagement and ethical letters, and update client records in Xero Practice Manager (XPM).
Lodge completed tax returns in XPM, maintain corporate registers (CAS360), and ensure compliance with ATO, ASIC, and other regulatory bodies.
ATO Correspondence & Communication:
Liaise with the ATO for payment plans, penalty remissions, lodgement extensions, and other requests.
Manage ATO correspondence via ATOMate and respond to client inquiries.
Key Responsibilities:
Excellent interpersonal and communication skills.
Strong organisational and time-management abilities.
High attention to detail and accuracy.
Experience with XPM, and CAS360 an advantage.
Ability to multitask and work both independently and as part of a team
A proactive and flexible approach to supporting team and client needs.
